About the position

The Data Entry Clerk position at the Pueblo of Zuni is a full-time, regular role focused on entering and managing data related to the Division of Administrative Services. The primary responsibility of this position is to accurately input relevant data from various source documents into databases such as MS Access and MS Excel. This role is crucial for processing, exporting, and managing data effectively. The Data Entry Clerk will also be involved in creating templates and program logs, as well as assisting with various program-related tasks. The position operates under the general supervision of the PPD Manager or their designee, ensuring that all data entry tasks are completed accurately and efficiently. Although there are no supervisory duties associated with this role, the Data Entry Clerk will play a vital part in maintaining the integrity of the data and supporting the overall operations of the administrative services division. The role may also require performing clerical duties to assist with the continuity of program services, which includes tasks such as processing incoming checks, mail, and credit card issuance, as well as providing customer service and directing inquiries to the appropriate staff members. In addition to data entry, the Data Entry Clerk will assist with converting Word documents to Adobe PDF fillable forms, managing inventory property pick-up and disposal, and processing the Shiwi Messenger Newsletter. The position may also involve collaboration with the Inventory Technician to ensure accurate data entry of configured assets, equipment transfers, and asset tagging of personal property. This multifaceted role is essential for the smooth operation of the administrative services and requires attention to detail and a commitment to data accuracy.

Responsibilities

  • Enter relevant program data and generate data reports.
  • Prepare, compile, and sort documents for data entry (e.g., final salary clearances, vendor profiles, purchase order files, inventory files).
  • Verify correct data and delete unnecessary data before entering it into MS software applications.
  • Secure information by completing database backups.
  • Perform clerical duties as a backup to assist with continuity of program services.
  • Assist with incoming checks, mail processing, and credit card issuance as needed.
  • Provide customer service and direct inquiries to appropriate staff.
  • Assist staff with converting Word documents to Adobe PDF fillable forms as applicable for program use.
  • Assist with inventory property pick-up and disposal.
  • Assist with processing of the Shiwi Messenger Newsletter.
  • Assist the Inventory Technician with data entry of configured assets.
  • Assist the Inventory Technician with equipment transfers and dispositions.
  • Assist the Inventory Technician with asset tagging of POZ personal property.

Requirements

  • Proficiency in MS Access and MS Excel for data entry and management.
  • Strong attention to detail and accuracy in data entry tasks.
  • Ability to prepare, compile, and sort documents effectively.
  • Experience in performing clerical duties and providing customer service.
  • Familiarity with converting documents to PDF format.
