About the position

The Data Entry Clerk (DEC) plays a crucial role in the Program Information Group, responsible for performing data entry, records filing, and various administrative tasks related to child and family records workflow. This position requires a high level of accuracy, attention to detail, and professionalism, ensuring confidentiality in handling sensitive information.

Responsibilities

  • Perform data entry and maintain accurate records for child and family information.
  • Organize and implement the intake of official documents from centers to the central office.
  • Maintain a master file system for child and family records, ensuring completeness and accessibility.
  • Operate data entry devices to input data into the Child and Family Information System accurately and timely.
  • Identify and troubleshoot errors in source documents with the originator.
  • Process and distribute paperwork to appropriate departments.
  • Track administrative aspects of Childplus and My Teaching Strategies management for centers.
  • Participate in discussions about database modifications and improvements.
  • Maintain complete and accurate files using approved naming protocols.
  • Create, edit, and run reports from the program information system as requested.

Requirements

  • High school diploma or GED.
  • Minimum three years' work experience in data entry, customer service, or as a receptionist.
  • Demonstrated proficiency using Office 365 (Outlook, Teams, OneDrive, Word, Excel, Powerpoint).
  • Bilingual in English and Spanish.

Nice-to-haves

  • Data entry certification from a recognized institute.
  • Associate degree in Business Administration, Records Management, or related field.
  • Five years' work experience in data entry, customer service, or as a receptionist.
  • Experience working in Child Plus or My Teaching Strategies.
  • Experience working at a Head Start program.
