About the position

The Data Entry Clerk / Safety Admin position at Keolis is a full-time role based in Van Nuys, CA, offering a competitive hourly rate of $21.00. This position is integral to maintaining the safety and compliance standards of the organization by managing confidential training and compliance files in accordance with Federal, State, and company requirements. The successful candidate will work under the direction of the Safety and Training Manager, ensuring that all Drug & Alcohol testing is scheduled and coordinated effectively. The role requires meticulous attention to detail, as the clerk will be responsible for maintaining and auditing Drug & Alcohol files, tracking employee credentials, and preparing progress reports on training for new hires and existing employees. In addition to these responsibilities, the Data Entry Clerk will maintain all Accident, Incident, Claims, and Injury Files, ensuring that event progress is tracked accurately. The position also involves preparing source data for computer entry, verifying entered data for accuracy, and organizing both physical and electronic files to secure sensitive information. The role contributes to the overall team effort by accomplishing related results and may include additional duties as assigned. Responsibilities

  • Creates and maintains confidential training and compliance files, electronic and paper, in accordance with Federal, State, and Keolis requirements.
  • Schedules and coordinates all Drug & Alcohol testing under the direction of the Safety and Training Manager.
  • Maintains and periodically audits all Drug & Alcohol files in accordance with FTA and company requirements.
  • Tracks employee credentials and coordinates employee communications with Operations Manager as needed while maintaining files in accordance with regulatory and company requirements.
  • Tracks New Hire & Existing Employee Training progress and prepares progress reports.
  • Maintains all Accident, Incident, Claims and Injury Files and tracks event progress.
  • Maintains all local and corporate Safety, Compliance, and Training Logs.
  • Prepares source data/documents for computer entry by compiling, sorting information, and establishing entry priorities.
  • Verifies entered Safety, Training, and Compliance data by reviewing, correcting, deleting; re-enters data in verification formats to detect errors; purges obsolete electronic and paper files to eliminate duplication of data.
  • Secures information by organizing physical and electronic files, including back-up, as required by company procedures.
  • Maintains customer confidence and protects operations by keeping information confidential.
  • Contributes to team effort by accomplishing related results.
  • Performs additional duties as assigned.

Requirements

  • At least three (3) years experience in an administrative role.
  • Strong computer skills, advanced in MS Office, Excel, and typing.
  • Strong oral and written communication skills are a must.
  • Experience in maintaining DOT, OSHA and FTA Drug & Alcohol files preferred but not required.
  • Transportation experience is a plus.
  • Initiative and problem-solving skills.
