Part-time - Entry Level

About the position

We are seeking a meticulous and detail-oriented Data Entry Clerk with invoicing experience to join our team. The ideal candidate will be responsible for entering, updating, and maintaining accurate financial and customer records, as well as preparing, verifying, and processing invoices. This role requires a strong focus on accuracy, efficiency, and the ability to work independently in a fast-paced environment.

Responsibilities

  • Accurately enter data into internal systems, spreadsheets, or databases from various sources (e.g., paper documents, digital files).
  • Prepare and issue invoices to clients/customers in accordance with company policies and client agreements.
  • Verify and ensure accuracy of invoices, purchase orders, and other related documents before processing.
  • Track and monitor outstanding invoices, following up on overdue accounts.
  • Reconcile discrepancies in invoices, ensuring all necessary corrections are made promptly.
  • Maintain organized records of financial transactions, invoices, and supporting documentation.
  • Collaborate with the accounting and finance teams to ensure proper documentation and coding of invoices.
  • Communicate with clients and vendors to resolve any billing or payment inquiries.
  • Perform other data entry tasks as required to support the team.

Requirements

  • Proven experience in data entry and invoicing, preferably within a finance, accounting, or administrative role.
  • High level of accuracy and attention to detail.
  • Proficient in Microsoft Office Suite, especially Excel, and familiarity with accounting software (e.g., QuickBooks, SAP, or similar).
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Excellent communication skills, both written and verbal.
  • Ability to work independently and as part of a team.
  • Basic knowledge of accounting principles is an advantage.

Nice-to-haves

  • Additional certification or training in data entry, bookkeeping, or accounting is a plus.
