About the position

The Data Entry Clerk at Acme Monaco Corporation is responsible for entering data into the computer systems under the supervision of the sales department. This role is crucial for maintaining the accuracy and efficiency of data processing within the organization. The Data Entry Clerk will prepare data for entry as directed, ensuring compliance with quality assurance procedures. This includes following specific work instructions related to customer master data, order entry, and request for quotes. The position requires a high level of confidentiality and the ability to resolve deficiencies in documentation by adhering to standard procedures or returning incomplete documents to the inside sales team for completion within a specified timeframe. In addition to data entry, the clerk will maintain and review customer notes to ensure proper processing of orders. They will acknowledge orders within 48 hours of entry and update commercial and medical quotes as needed. The role also involves weekly reviews of orders on hold with inside sales managers and assisting in maintaining the Epicor price list and portal catalog. The Data Entry Clerk is expected to compare data entered in Epicor with customer orders to detect errors, making necessary corrections prior to order acknowledgment. They will also upload orders and acknowledgments to the order scan file and review error reports to enter corrections into Epicor for any missing or incorrect items. The position requires performing other duties as assigned, which may vary based on the needs of the sales department. The Data Entry Clerk must possess excellent organizational skills, attention to detail, and proficiency in Microsoft Office Suite, particularly Excel. A high school diploma or GED is required, with one to three years of related experience preferred. The role demands strong communication skills, both verbal and written, as well as effective time management abilities to meet deadlines.

Responsibilities

  • Prepares data for entry into computer as directed and required following QA procedures.
  • Resolves deficiencies by using standard procedures or returning incomplete documents to inside sales for completion within 24 hours.
  • Maintains, reviews & applies items in customer notes file to orders to ensure proper processing.
  • Acknowledges orders within 48 hours of entry.
  • Updates commercial & medical quotes for orders received.
  • Reviews all orders on hold with inside sales managers weekly.
  • Assists with maintaining Epicor price list when needed.
  • Assists with maintaining portal catalog when needed.
  • Compares data entered in Epicor with customer order to detect errors, ensuring no more than 1-2 errors per quarter depending on value.
  • Makes necessary corrections to information entered as needed prior to order acknowledgement.
  • Uploads order & acknowledgement to order scan file within a week when needed.
  • Reviews error reports and enters corrections into Epicor on missing or incorrect items.
  • Files or routes source documents after entry.
  • Performs other duties as assigned.

Requirements

  • High School diploma or GED required.
  • One to three years of related experience and/or training preferred.
  • Excellent organizational skills and attention to detail.
  • Proficient in Microsoft Office Suite or similar software.
  • Good knowledge of Epicor.
