About the position

The Data Entry Clerk position at AVANCE San Antonio Inc. is responsible for ensuring accurate data entry and reporting in compliance with agency requirements and Head Start Performance Standards. This role involves maintaining up-to-date records, assisting program managers, and preparing various reports while adhering to confidentiality policies.

Responsibilities

  • Promotes and models the organization's Core Values.
  • Assists Program Manager in delivery of documents.
  • Enters participant's information to ensure accuracy and completion of the Program Information Report (PIR).
  • Enters family information updates to maintain accurate records in data system.
  • Maintains up-to-date knowledge and understanding of AVANCE's policies and procedures, and Head Start Performance Standards.
  • Enters children's and family's data and information accurately into appropriate designated systems in a timely manner.
  • Monitors accuracy of data in files.
  • Works cooperatively with staff to facilitate the accurate coding and entry of information in compliance with program guidelines.
  • Keeps in close communication with program managers to ensure accurate reporting.
  • Assists in preparation of weekly, monthly, and quarterly reports as required.
  • Follows program confidentiality policies concerning information about children, families, and other staff members.
  • Performs other duties as assigned.

Requirements

  • High School Graduate or GED required.
  • Preferred: Associate degree or some college coursework in Office Management or related administrative field.
  • Preferred: Minimum six (6) months to one-year experience in non-profit programs.
  • Excellent writing, editing and proofreading skills.
  • Proficiency in Office software applications.
  • Spanish fluency helpful, but not required.
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment.
  • Organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Strong interpersonal skills and the ability to build relationships with stakeholders, including staff.
  • Highly resourceful team player, with the ability to be extremely effective independently with the capability of managing numerous simultaneous projects.
  • Forward-looking thinker, who actively seeks opportunities and proposes solutions.
  • Ability to generate, analyze, evaluate, and summarize reports.
  • Must have dependable transportation daily, valid driver's license, a clean driving record, current auto liability insurance and be bondable by AVANCE, San Antonio, Inc.
