About the position

The Data Entry Clerk position involves managing payment and correspondence tasks related to tax processing. The role requires attention to detail in handling incoming and outgoing mail, processing bills, and ensuring accurate payment remittance. The clerk will interact with various stakeholders, including mortgage lenders and taxing authorities, while maintaining production standards in a fast-paced environment.

Responsibilities

  • Issue delinquent tax notification letters to mitigate homeowner impact to their escrow account.
  • Interact with print vendors regarding production assignments or concerns.
  • Analyze and approve outbound files to customers and vendors.
  • Monitor regulatory requirements for NJME2 and NY953 letters.
  • Open incoming mail, date-stamp, sort, and prioritize within 24 hours.
  • Identify contract information, image, and index incoming mail.
  • Research and return mail that was incorrectly received.
  • Validate proof of payment documentation from borrowers and update the system of record with findings.
  • Research undeliverable return mail for BNA errors and notify clients.
  • Prepare outgoing bill requests and registrations to taxing authorities.
  • Open incoming mail from taxing authorities and route to appropriate processes.
  • Authenticate all tax bills received and confirm correct taxing authority details.
  • Utilize 10-Key for tax amounts into the TCSL system.
  • Image and index customer documents for proper uploading to the WebXtender system.
  • Distribute mail according to lender-approved mail matrix.
  • Expedite identification of incoming electronic funds and lender checks for cash management.
  • Balance funds for mass payments to taxing authorities in conjunction with ELD.
  • File and pull necessary tax bills for payment processing.
  • Bill-match necessary bills to payment listings for organized payment packages.
  • Communicate effectively with mortgage lenders and taxing authorities.
  • Prepare production/statistical reports as applicable.

Requirements

  • High School Diploma or equivalent.
  • Experience in Microsoft Excel 2007, Microsoft Word, and Microsoft Access 97.
  • Basic knowledge of Real Estate Tax Servicing.
  • Ability to type 45+ wpm.
  • Ability to use 10 key by touch with 98% accuracy.
  • Effective communication skills, both written and verbal.
  • Ability to work in a fast-paced and high-stress environment.
