The Data Manager/Bookkeeper/Payroll position at The Summit Academy involves a diverse range of clerical duties that require interaction with various employees and departments. This role is essential in providing primary support to an administrator and necessitates a considerable understanding of technical fields. The employee will be responsible for performing several steps in their tasks, requiring the selection of the most appropriate actions within established procedural and operational guidelines. The work is directed by precedents or broad policy, and the employee is expected to develop procedures for non-technical and non-complex problems, resolving issues independently as they arise. In the capacity of a secretary, the employee will answer phone calls in a pleasant and informed manner, ensuring that information is provided effectively while creating a positive image of the school. Greeting incoming students, families, and guests with respect and professionalism is crucial. The role also includes maintaining a professional front office, which involves fielding and directing phone calls, filing, copying, and faxing sensitive information. The employee will foster a welcoming and caring climate in the front office and attend to students' personal needs, including administering medications as prescribed by a physician. As a bookkeeper, the employee will perform various general bookkeeping and record-keeping functions, ensuring that financial records are complete and accurate. This role requires a detail-oriented individual with a strong drive for accuracy, as well as effective time management skills to complete assigned duties punctually. The employee will also need to exercise tact and courtesy when dealing with the public and other employees. In the payroll aspect of the role, the employee will be responsible for maintaining, preparing, and submitting payroll for the school to the District Office. As a data manager, the employee will maintain the Student Information System, manage student demographics, scheduling, and grading, and handle student withdrawal and transfer information. The role also includes maintaining communication dialers, accessing the internet for student information, providing training on Power School, producing accurate work, and completing special projects as needed.

Responsibilities

  • Greet all incoming students, families, and guests respectfully and professionally.
  • Assist in maintaining a professional front office, including fielding and directing incoming phone calls, filing, copying, and faxing sensitive information.
  • Develop a positive, welcoming, and caring climate in the Front Office.
  • Attend to students' personal needs, including administering medications as prescribed by a physician.
  • Perform a variety of general bookkeeping, record keeping, and accounting functions.
  • Compute, classify, and record numerical data to keep financial records complete.
  • Maintain, prepare, and submit payroll for the school to the District Office.
  • Maintain the Student Information System and manage student demographic, scheduling, and grading information.
  • Communicate with District Personnel regarding student information and complete special projects.

Requirements

  • Must be 18 years of age or older.
  • Minimum high school diploma required.
  • Basic secretarial and computer skills necessary.
  • Excellent verbal and written communication skills required.
  • Office experience in office practices and procedures preferred.
  • Experience with computer applications and ability to use/manage different software is preferred.
  • Experience in accounting and/or databases preferred.
  • Associate's Degree or equivalent (48 semester hours) from a regionally accredited institution or equivalent experience preferred.

Nice-to-haves

  • Experience in a school environment is preferred.
  • Familiarity with Power School or similar student information systems is a plus.
