About the position

The Administrative Assistant (Grant Administrator/Management) position is a critical role within the organization, primarily focused on supporting the grant administration process. This position involves assisting in the collection of data for agency grantees and processing the necessary paperwork to execute grant agreements. The successful candidate will monitor grant recipients' compliance with both federal and District regulations, ensuring that all parties adhere to the established guidelines. Effective communication is essential, as the role requires maintaining contact with staff members, representatives from cultural institutions, and the general public regarding grants administration assignments. In addition to compliance monitoring, the Administrative Assistant will solicit, review, and approve interim and final reports for various grants, including individual, project-based, and general operating support grants. The role also includes creating and maintaining records, files, and correspondence related to grant assignments, which is crucial for organizational efficiency and transparency. The candidate will assist in coordinating the grant proposal intake and peer review process, which involves selecting grant applicants and panelists, thereby playing a vital role in the grant selection process. The position requires the ability to provide technical assistance and outreach to the public as needed, as well as managing and analyzing data from the Jungle Lasers grants application database. Organizing and maintaining both electronic and paper files of grant documents and resources is another key responsibility. The Administrative Assistant will support the grant manager with various administrative tasks related to compliance and the generation of grant documents, working to enhance and improve grants management processes to increase efficiencies. Additionally, the candidate will serve as a panelist for internal review panels and provide support during panel seasons, contributing to the overall success of the grants staff in issuing off-cycle grant programs, including enhancement and relief grants to individuals and organizations. Other duties may be assigned as necessary.

Responsibilities

  • Assists in the collection of data for agency grantees and the processing of paperwork necessary to execute grant agreements.
  • Monitors grant recipients' compliance with federal and District regulations.
  • Maintains effective communication with staff members, cultural institution representatives, and the general public at-large in matters related to grants administration assignments.
  • Solicits, reviews, and approves interim and final reports for individual, project-based, and general operating support grants.
  • Creates and maintains records, files, and correspondence related to assignments.
  • Assists in the coordination of grant proposal intake and peer review process for selection of grant applicant and panelists.
  • Provides technical assistance and outreach to the general public, as requested.
  • Assists in the management and analysis of data by compiling and presenting data secured from Jungle Lasers grants application database.
  • Organizes and maintains electronic and paper files of grant documents and resources.
  • Supports grant manager with administrative tasks related to compliance and the generation of grant documents.

Requirements

  • Excellent analytical skills to conduct research, solve problems, and make recommendations and presentations.
