About the position

The Day-to-Day Substitute Administrative Secretary plays a crucial role in maintaining the smooth operation of the school office. This position involves a variety of administrative tasks that support the building principal and ensure effective communication within the school community. The secretary will be responsible for greeting students, parents, and guests, managing phone calls, and maintaining essential records and supplies. This role requires a high level of professionalism, confidentiality, and the ability to work collaboratively with staff and students.

Responsibilities

  • Greet students, parents, and guests.
  • Answer a multi-line phone and record messages.
  • Answer and maintain building security system.
  • Maintain daily student attendance.
  • Maintain student paperwork.
  • Maintain office supplies.
  • Maintain school calendar and principal's calendar.
  • Coordinate daily student absences and follow up with an automated call to clear all unexcused absences.
  • Sort/distribute incoming mail.
  • Process CORI for administration building.
  • Process staff paperwork and submit to the Administration Office including purchase requests, payment requests, and leave with pay forms.
  • Collect and enter all student information into Rediker.
  • Collect and record all staff forms such as medical emergency, extra help, and grading policies.
  • Process and maintain attendance forms and mailings for students and staff.
  • Assign and collaborate with the principal regarding duties, common planning, professional development and preparation periods, entering all information into Rediker two times per year with the semester change.
  • Organize and keep track of keys for the building.
  • Organize and run fire drills and coordinate with the Fire Chief. Responsible for all staff and students for safety check-in.
  • Initiate important announcements via automated call system to parents and staff.
  • Perform all other duties and responsibilities as assigned.

Nice-to-haves

  • Associates Degree or equivalent work experience as an Administrative Assistant
  • Knowledge of professional office practices and procedures
  • Proficiency in Microsoft Office, Google Documents, and Quicken
  • Organizational, bookkeeping, and math skills
