About the position

The Dean's Office Administrative Manager provides administrative leadership to the Dean's Office of the College of Education and Human Development at the University of Minnesota. This position is pivotal in managing the strategic planning, implementation, and day-to-day operations of the Dean's Office. The Administrative Manager is responsible for providing executive-level support to the Dean, Chief Financial Officer/Chief of Operations (CFO/COO), and other senior leaders, ensuring that administrative functions align with the strategic goals of the college. This role requires a deep understanding of university policies and practices, as well as the ability to make sound judgments and decisions in a complex environment. In this capacity, the Administrative Manager will oversee the integration of financial resources, human resources, data systems, and technology with the operational needs of the college. The position involves supervising two to three administrative support staff, providing guidance and support to ensure effective operations. The Administrative Manager will also represent the Dean's Office in various collegiate meetings and committees, acting as a knowledgeable resource for senior leaders and staff on administrative matters. The role demands strong communication skills, the ability to manage multiple projects simultaneously, and a commitment to fostering a diverse and inclusive workplace. Responsibilities

  • Manage administrative operations in the Dean's Office, promoting innovation and continuous performance improvement.
  • Execute projects, programs, events, and initiatives on behalf of the CEHD Senior Management Team, ensuring effective completion of outcomes.
  • Partner with CEHD's directors in various functional areas to integrate Dean's Office operations with university policies and procedures.
  • Serve as the subject matter resource for senior leaders and staff on university and college policies and procedures.
  • Represent the Dean's Office at collegiate administrative meetings, committees, and task forces.
  • Supervise two to three employees, managing their performance and development.
  • Review operational oversight reports to monitor and facilitate corrective actions.
  • Investigate and resolve complex administrative problems using compliant solutions.
  • Organize and manage the Dean and CFO/COO calendars, prioritizing and optimizing time management.
  • Coordinate and support leadership meetings and committees, including agenda preparation and follow-up on action items.
  • Develop documents, reports, presentations, and other materials in consultation with senior leaders.
  • Initiate and respond to standard communications on behalf of the Dean.
  • Coordinate, manage, and facilitate annual collegiate events and programs.

Requirements

  • Bachelor's degree and six years of relevant experience in administration, finance, human resource management, operations, or higher education.
  • Prior experience supervising staff positions.
  • Experience providing administrative support to executive leaders in a complex environment.
  • Experience interpreting and implementing policies and procedures.
  • Advanced knowledge of Microsoft Office Suite and Google Workspace.
  • Demonstrated ability to work effectively with diverse backgrounds and a commitment to promoting an inclusive workplace.
