About the position

The Digital Engineering Center at MIT Lincoln Laboratory is seeking an enthusiastic administrative coordinator to support the Group Leaders and Business Manager. This role is essential for managing complex schedules, coordinating meetings, and providing a variety of administrative and business tasks to ensure the group's efficiency. The ideal candidate will thrive in a fast-paced environment, demonstrating strong organizational skills and the ability to work both independently and as part of a team.

Responsibilities

  • Manage multiple complex schedules and calendars for Group Leaders and Business Manager.
  • Coordinate meetings and communicate effectively through email and phone.
  • Maintain electronic calendars and assist with site access requests for visitors.
  • Process various Laboratory forms and issue shopping carts.
  • Facilitate release reviews and maintain office supplies.
  • Enter time sheets and process procurements and expense vouchers.
  • Arrange travel and submit facilities and IT work orders.
  • Create and maintain spreadsheets and archive correspondence for the office.
  • Support new hire onboarding and escort visitors as needed.
  • Provide coverage for administrative absences in other offices.
  • Assist in special project assignments, including conference logistics and office moves.

Requirements

  • High School graduate with at least 5 years of relevant experience.
  • Proficient in MS Office Suite (Word, Excel, PowerPoint, Access, Outlook) on a Microsoft Windows platform.
  • Proven ability to utilize MS Excel effectively to solve problems and organize information.
  • Record of successfully working in a team environment and willingness to follow Laboratory policies.
  • Familiarity with sensitive and confidential matters is a plus.
  • Strong organizational skills and attention to detail with the ability to handle multiple tasks.
  • Positive interpersonal behaviors needed to work in a fast-paced environment.
  • Comfortable communicating with all levels of the organization and external guests.
  • Familiarity with SAP is desired.

Nice-to-haves

  • Experience working within government environments.
  • Familiarity with Concur, Success Factors, Field Glass, SAP Business Objects, Analysis for Office.
