About the position

Elizabeth L. Wakim, DDS is expanding her administrative team and is seeking an enthusiastic, organized, and professional individual to support our growing dental practice. Our office provides exceptional dental services, ranging from basic general dentistry to advanced procedures such as endodontic treatment, oral surgery, implant procedures, and TMJ therapy. We pride ourselves on utilizing the latest advances in dental technology, including CEREC, CBCT (3D radiographic imaging), TekScan (digital bite force mapping), laser, and CAD CAM dentistry. We are committed to providing an unprecedented level of care to our patients and value our team members highly. The ideal candidate will possess excellent written and verbal communication skills, a self-starter attitude, and strong organizational skills with the ability to multitask. Sales and customer service experience is preferred, as the role involves building relationships and rapport with patients and the team. The office administrator will play a crucial role in managing the daily, weekly, and monthly schedules for the doctor, ensuring that the practice meets its production and collection goals. This includes compiling data and utilizing office equipment to maintain business records and reports related to patient treatment, all while ensuring that patients have an extraordinary experience in our office.

Responsibilities

  • Ensuring the doctor's schedule is 100%+ to goal
  • Generating daily reports regarding productivity and a five-day forecast
  • Managing and notating canceled and rescheduled appointments
  • Keeping short notice cancellations and missed appointments to a maximum 5% weekly goal
  • Managing patient payments, including presenting treatment plans and obtaining agreement
  • Ensuring a monthly collection goal of 98%
  • Verifying insurance information with patients
  • Providing patients a 'Smiley Survey' with a goal of 80% completion daily
  • Facilitating patient questions or concerns to appropriate parties, measured through smiley survey with a 95% positive patient satisfaction score.

Requirements

  • 3 years of experience in the dental field
  • Knowledge of dental software such as Dentrix is preferred
  • Functional knowledge of Microsoft Office
  • Professional in appearance and demeanor
  • Excellent customer service ability
  • Must understand that dental insurance does not dictate treatment or recommendations
  • Comfortable with patient education
  • Enjoys dentistry and believes it offers patients a means to better health.
