About the position

The Dental Office Clerk position at Klamath Tribal Health & Family Services is a full-time role focused on providing essential clerical support to the Klamath Tribes Dental Clinic. The primary responsibility of this position is to schedule patient appointments and assist with various administrative tasks that facilitate the smooth operation of the dental clinic. The clerk will be the first point of contact for patients and visitors, ensuring a welcoming and professional environment. This role requires a commitment to delivering exceptional customer service and maintaining a high standard of professionalism at all times. In addition to scheduling appointments, the Dental Office Clerk will perform receptionist duties, which include greeting visitors, answering phone calls, and addressing routine inquiries. The clerk will also monitor the waiting room to ensure that patients are attended to promptly and that their waiting times are minimized. Utilizing the Next Gen System, the clerk will accurately schedule appointments and manage the availability of dental providers, adhering to established procedures and guidelines to ensure that the schedule reflects the providers' availability accurately. The position requires a strong understanding of dental terminology and record management, as well as proficiency in computer operations, particularly in word processing. Attention to detail and accuracy in data entry are critical components of this role, as the clerk will be responsible for maintaining patient records and ensuring that all information is up-to-date and correctly documented.

Responsibilities

  • Perform receptionist duties for the Klamath Tribes Dental Clinic.
  • Receive and greet visitors and clients in a professional manner.
  • Answer and relay incoming telephone calls pleasantly.
  • Address routine inquiries and refer complex matters to supervisors or appropriate staff.
  • Monitor the waiting room to ensure patients are attended to and waiting times are managed.
  • Schedule patient appointments using the Next Gen System, blocking out non-available times for providers.
  • Follow established procedures to ensure accurate reflection of appointments on the schedule.

Requirements

  • High School Diploma or Equivalent (copy of diploma or transcripts required with application).
  • Minimum of one (1) year experience in general office, dental office, or secretarial field.
  • Extensive experience in computer/word processing, specifically Microsoft Word.
  • Knowledge of Current Dental Terminology (CDT) coding.
  • Knowledge of record management.
  • Excellent data entry skills with an emphasis on accuracy and attention to detail.
