About the position

The Dental Office Coordinator at Confident Kids Pediatric Dentistry is responsible for ensuring a smooth and efficient front office operation, providing exceptional customer service, and coordinating patient experiences. This role involves managing scheduling, patient records, and financial transactions while fostering a positive and compassionate environment for children and their families.

Responsibilities

  • Greets visitors and patients entering the practice and alerts appropriate staff of patient arrivals.
  • Answers telephone, routes calls, provides information, and takes messages in accordance with practice procedures.
  • Schedules and adjusts patient appointments to maximize patient care and reach practice profit targets.
  • Establishes, maintains, and keeps patient files and records up to date.
  • Communicates with patients regarding financial options and reconciles financial records by receiving and recording patient payments.
  • Prepares correspondence, memos, and other documents as requested by the doctor.
  • Keeps the front desk and reception areas clean and organized.
  • Performs necessary duties associated with checking patients in and out, including recording treatment information.
  • Produces the doctor's call list and provides it to the doctor as necessary.
  • Calls patients the day before to remind them of scheduled appointments.
  • Monitors the schedule regularly, adjusts as necessary, and reschedules patients as needed.
  • Reports on production results during morning huddles and updates staff on current day's production goals.
  • Registers new patients and ensures all required documents are completed by the patient.
  • Promotes excellent customer service by all levels of the staff.

Requirements

  • Minimum of 1 year of dental front office experience.
  • Knowledgeable in insurance codes, submission, and eligibility.
  • Excellent communication skills and willingness to learn new methods.
  • Ability to maintain composure and professionalism in stressful situations.
  • Strong customer service skills and ability to multitask.

Nice-to-haves

  • Prior knowledge of Curve Dental is a plus but not required.
  • Experience with dental billing and knowledge of Medicaid and commercial insurance regulations.
