About the position

The Department Assistant III (Early College) at Kern Community College District provides complex and confidential clerical and secretarial services to college administrators, faculty, and staff. This role involves a variety of responsibilities including scheduling, maintaining office supplies, assisting with student services, and participating in budget preparation. The position requires independent judgment and specialized training in a functional area, making it essential for supporting the operational needs of the department.

Responsibilities

  • Perform general secretarial and clerical work including scheduling appointments and processing personnel information.
  • Monitor, order, distribute, and maintain office supplies; order textbooks and troubleshoot new equipment.
  • Type and proofread reports, letters, and proposals; compose correspondence related to assigned responsibilities.
  • Assist in preparing course outlines and catalog information, including class and final examination schedules.
  • Participate in planning and implementing events related to college programs, including fundraising and special events.
  • Assign work activities to clerical and student help; monitor workflow and evaluate work products.
  • Assist in student services such as scheduling classes and arranging special accommodations.
  • Prepare reports and requests such as travel and faculty request forms; manage payroll and verify time cards.
  • Organize and maintain filing systems and various records related to the area of assignment.
  • Receive and deliver supplies; verify shipments and process purchase orders.
  • Respond to supply delivery problems and assist in reviewing outgoing correspondence for accuracy.
  • Maintain calendars and schedules of activities, meetings, and appointments; coordinate with other departments.
  • Review materials for completeness and provide information to the public regarding college policies and procedures.
  • Serve as a receptionist, answering phones and providing information to students and the public.
  • Participate in budget preparation and administration, preparing cost estimates and justifications for budget items.
  • Exercise functional and technical supervision over clerical and secretarial staff.

Requirements

  • Graduation from high school and three years of responsible clerical experience.
  • Knowledge of modern office procedures, methods, and computer equipment.
  • Proficiency in word processing methods and programs.
  • Strong command of English usage, spelling, grammar, and punctuation.
  • Understanding of budget administration principles and basic arithmetic.
