About the position

The Department Operations Analyst in Auxiliary Services at UT Southwestern plays a crucial role in supporting the analysis and ongoing monitoring of business processes and systems. This position aims to determine optimum operational levels and solutions to maximize efficiency, working under the supervision of the Operations Manager. The role is fully on-site and involves a variety of responsibilities including contract analysis, operational reporting, and process improvement.

Responsibilities

• Analyze and coordinate approval of departmental contracts for goods and services to ensure compliance with policies and procedures.
• Monitor departmental activities against the multi-year strategic sourcing plan and recommend timelines for RFPs.
• Assist departmental leadership with the development of sourcing intake documents, including detailed scopes of work and comprehensive bidder questionnaires.
• Develop and analyze operational reports from the department's project management and/or request tracking systems.
• Monitor and test existing operations activities processes to ensure completeness of the system of internal controls.
• Document business processes and identify operational process improvement opportunities.
• Develop, test, and document business improvement plans and support their implementation.
• Manage the library of departmental standard operating procedures, including testing and updates.
• Create and/or update operational communications plans and training documentation.
• Assist with coordinating multiple projects concurrently and perform data collection, aggregation, and analysis.

Requirements

• Bachelor's Degree in Business, Management Information Systems, or a related field.
• 1 year of applicable experience with proficiency in MS Word, Excel, and Visio.
• Experience may be considered in lieu of degree.
