The Endoscopy Center Department Secretary/Medical Assistant plays a crucial role in providing both direct and indirect care to patients at the Endoscopy Center, ensuring efficient patient flow and high-quality care. This position operates under the supervision of the Nursing Director or their designee, performing a variety of administrative and patient care duties that facilitate each patient's readiness for their visit or procedure. The individual in this role is expected to work collaboratively with the healthcare team to uphold the principles of the Patient and Family Centered Care Model, creating an environment that exemplifies best practices in patient care. In this position, the Department Secretary/Medical Assistant is responsible for demonstrating professionalism and possessing excellent organizational, time management, customer service, and communication skills. The ability to be self-directed, work effectively in a team, and maintain a focus on patient-centered quality care is essential. The distribution of duties and hours will be flexible to meet the needs of the unit and the patients and families served. This role is vital in ensuring that the Endoscopy Center operates smoothly and that patients receive the best possible care during their visits. The Department Secretary/Medical Assistant will engage in various tasks, including scheduling patients, triaging phone calls, receiving visitors, managing office supplies, and upholding HIPAA requirements. They will also be responsible for filing charts, updating medical records, collaborating with the medical and nursing teams, and assisting with patient care tasks such as obtaining vital signs and preparing patients for procedures. This position requires a commitment to maintaining a positive public image and providing support to the Endoscopy Center team as needed.

Responsibilities

  • Performs assigned administrative and direct/indirect patient care duties to ensure efficient operation of the Endoscopy Center.
  • Schedules patients in a manner that optimizes an efficient flow in the Endoscopy Center.
  • Triages phone calls in a pleasant and courteous manner, collaborating with professional personnel when appropriate, accurately relaying messages to the appropriate personnel.
  • Receives visitors to the department in a professional manner, projecting a positive public image.
  • Orders office supplies weekly and as needed and puts supplies away in appropriate places.
  • Upholds HIPAA requirements, adhering to confidentiality standards in all communications about patient information.
  • Files all charts and testing results into the patient medical record in a timely manner.
  • Updates Endoscopy Center charts and medical records to include add-on cases, cancellations, etc.
  • Works collaboratively with the medical and nursing team to optimize patient flow.
  • Assists in inventory, nutrition, and supply management.
  • Notifies interpreter services of patients who will need medical interpretation.
  • Demonstrates ability to efficiently use FH EPIC Chart system.
  • Prepares the patient medical record pre-procedure and ensures that all required paperwork is in the chart including MRI results, CT scans, referrals, MD notes.
  • Escorts patients to and from the procedure room and/or to exit as directed by RN.
  • Places patient on monitor, checks vital signs as indicated/directed.
  • Assists patient with changing into appropriate hospital attire and back to street clothes as indicated, ensuring safety measures are taken to prevent falls.
  • Demonstrates transfer techniques utilizing proper body mechanics to prevent discomfort or injury to patient or self.
  • Collaboratively provides direct care to patients with the RN to facilitate efficient patient flow and quality patient care.
  • Provides other support to Endoscopy Center team as needed.

Requirements

  • High School Diploma or GED required.
  • Graduate of Medical Assistant Program requirement.
  • Medical Assistant Certification required.
  • BLS required.
  • Previous clerical experience required.
  • Adheres to all I C.A.R.E. Standards.
  • Ability to speak, read, and write English.
  • Excellent communication skills.
  • Computer proficiency.
  • Ability to work as a team player.
  • Ability to multitask, prioritize, and be detail oriented.
