The Departmental Secretary for Interventional Cardiology at NYU Langone Health plays a crucial role in supporting the office operations of the department and serving as the Secretary to the Department Head. This position involves a variety of complex secretarial duties that require considerable judgment and attention to detail, ensuring efficient workflow and compliance with medical regulations.

Responsibilities

  • Performs a variety of duties in support of office operations, including complex secretarial tasks.
  • Complies accurate patient insurance information and provides it to the billing service.
  • Maintains inventory of office supplies at the front desk.
  • Maintains departmental information in accordance with HIPAA and other regulations.
  • Takes and transcribes moderately complex dictation using transcription equipment or departmental systems.
  • Prepares and edits general correspondence.
  • Assists in training new staff and orients them on departmental policies and procedures.
  • Trains new personnel in the efficient operation of departmental systems.
  • Suggests new or modifications to existing office systems.
  • Collects and organizes insurance and financial documentation for patients prior to procedures.
  • Schedules patients and prepares daily schedules while adhering to Medical Center policies.
  • Serves as receptionist by answering phones and greeting staff and visitors.
  • Coordinates repair/service of office equipment and maintains service records.
  • Ensures accuracy and completeness of printed reports to be sent out.
  • Keeps an up-to-date list of referring physicians and mailing labels.
  • Distributes reports to appropriate clinical staff and patients.
  • Performs other duties as assigned.

Requirements

  • Graduate of a business/secretarial school or equivalent combination of academic and experience.
  • Minimum of four years of responsible secretarial experience.
  • Typing speed of 60 WPM.
  • Proficient in Microsoft Applications.
  • Knowledge of medical terminology.
  • Ability to effectively communicate with all levels of the organization.
