About the position

The Deputy Chief of Staff will serve as a vital support to the executive team of a leading full-service real estate organization. This role is designed for a dynamic and highly motivated individual who will manage complex executive schedules, coordinate travel, and oversee high-stakes event planning. The Deputy Chief of Staff will contribute to strategic initiatives and ensure the smooth operation of the executive office, making a significant impact on the company's mission and success.

Responsibilities

  • Efficiently manage complex and ever-changing executive calendars.
  • Coordinate travel arrangements, itineraries, and accommodations.
  • Prepare and edit documents, presentations, and reports, ensuring accuracy and professionalism.
  • Manage and track expenses and reimbursements.
  • Organize and coordinate internal and external company events.
  • Organize and manage sponsorships.
  • Manage spreadsheets and databases.
  • Handle confidential information with the utmost discretion and professionalism.
  • Perform any other reasonable requirements of the employer.

Requirements

  • Bachelor's degree or equivalent experience preferred.
  • At least 3 years proven experience as an executive assistant or in a similar role, supporting multiple executives.
  • Exceptional organizational and time management skills.
  • Outstanding written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • High level of professionalism and discretion.
  • Ability to work independently and as part of a team.
  • Strong problem-solving skills and a proactive approach.
  • Good communication and interpersonal skills to interact with all levels of an organization.
  • Highly organized with the ability to multi-task.

Nice-to-haves

  • Experience in the commercial real estate industry is a plus, but not required.
