About the position

The Deputy Clerk for the Magistrate Court is responsible for performing clerical work functions associated with court activities and operations. This role involves customer service, processing documentation, managing court schedules, and maintaining accurate records. The Deputy Clerk will assist the public, attorneys, and court officials, ensuring efficient court operations and compliance with legal procedures.

Responsibilities

  • Perform customer service functions at the front counter or via telephone, providing information and assistance to the public and court officials.
  • Receive payments for court-related fees, record transactions, and issue receipts.
  • Set and prepare court dates and dockets, and re-set dates as necessary.
  • Process various documentation related to civil and criminal actions, ensuring accuracy and completeness.
  • Prepare routine correspondence, forms, reports, and other documents using a computer or typewriter.
  • Type legal documents such as affidavits, citations, and warrants.
  • Compile and track administrative and statistical data, preparing reports as needed.
  • Perform basic research functions, including checking criminal histories and files.
  • Calculate court costs, taxes, and other fees.
  • Perform general bookkeeping functions, including posting financial data and reconciling bank statements.
  • Perform data entry and maintain departmental files and records.
  • Maintain inventory of departmental supplies and coordinate calendar activities.
  • Answer telephone calls, screen calls, and provide information or assistance as needed.

Requirements

  • High school diploma or GED required, supplemented by training in computers and secretarial skills.
  • One year of experience in general office work or a related field.
  • Possession and maintenance of a valid Georgia Certificate of Appointment of Notary Public may be required.

  • Experience in legal documentation and court procedures.
