About the position

The Deputy Clerk of Circuit Court I for Land Records and Deeds is a full-time position within the City of Chesapeake's Circuit Court Clerk's office. This role is essential for the efficient operation of the court's administrative functions, particularly in the area of land records and deeds. The Deputy Clerk I will initially focus on land records and deeds but may also receive cross-training in other divisions of the court. The primary responsibilities include indexing and recording various legal documents, such as deeds and deeds of trust, into the court's automated system, as well as processing related documents. This position requires a high level of attention to detail and the ability to multitask effectively, as the Deputy Clerk I will be responsible for verifying and researching land records, entering data, processing documents, and retrieving information as needed. In addition to document processing, the Deputy Clerk I will handle customer inquiries, both in person and over the phone, providing assistance to banks, title companies, attorneys, and the general public. The role also involves managing marriage license filings, copying and scanning documents, and maintaining accurate records of fees collected. The Deputy Clerk I will work under general supervision, developing work methods and sequences to ensure the smooth operation of the Clerk's office. This position is crucial for maintaining the integrity and accessibility of land records and deeds, which are digitized to enhance customer service. The Deputy Clerk I must be proficient in computer skills, including data entry and document management, and should be able to work efficiently in a fast-paced environment. The role requires a commitment to customer service and the ability to handle multiple tasks simultaneously, ensuring that all responsibilities are completed accurately and in a timely manner. The Deputy Clerk I will also be expected to prepare reports, correspondence, and other legal documents as required, contributing to the overall effectiveness of the Circuit Court Clerk's office.

Responsibilities

  • Index and record documents such as deeds and deeds of trust into the court's automated system.
  • Process relevant documents and verify land records.
  • Enter data and maintain accurate records in the Logan and city computer systems.
  • Collect fees and maintain a cash drawer.
  • Receive, screen, and respond to inquiries by telephone and in person.
  • Assist banks, title companies, attorneys, and the public with their requests.
  • File marriage licenses and copy/scanning of plats and other documents.
  • Prepare reports, correspondence, forms, and other legal documents as required.
  • Receive, distribute, and process incoming mail and prepare outgoing documents for postal service.
  • Develop work methods and sequences under general supervision.

Requirements

  • High school diploma or GED required.
  • Minimum of one year of related, full-time equivalent experience.
  • Proficiency in computer skills and typing, with a minimum typing speed of 60 wpm preferred.
  • Ability to multitask and manage time effectively in a fast-paced environment.
