About the position

The Deputy Court Clerk provides clerical assistance to the Court Clerk, supporting the Municipal Judge and Court Services. This role involves a variety of clerical, courtroom, and administrative duties, ensuring compliance with established policies and procedures based on Mississippi statutes and local ordinances.

Responsibilities

  • Assist with clerical and administrative activities involving court records and legal document processing.
  • Ensure proposed policies and procedures for the receipt and accounting of fine payments, issuance of warrants, and scheduling of court functions.
  • Assist the Judge with responses to the public, defendants, and attorneys regarding rules, regulations, and court operations.
  • Assist in the preparation of the annual budget and annual report.
  • Import documents and scan traffic, parking, and criminal misdemeanor affidavits into the computer system.
  • Use the computer to retrieve court case information and update defendant information.
  • Electronically file and retrieve court cases and affidavits.
  • Enter pertinent information into the Court's computerized system for tracking all court cases.
  • Prepare court dockets for court presentation.
  • Notify defendants and attorneys of court appearances and prepare subpoenas.
  • Schedule court trials, initial arraignments, hearings, and special settings.
  • Assist the judge in the courtroom and coordinate courtroom activity.
  • Handle and process cash payments of fines and serve as a collection or warrants clerk.
  • Open and verify mail, removing and recording checks, cash, money orders, and other court-related documents.

Requirements

  • High school diploma or equivalent (GED) and some formal training in appropriate office discipline or equivalent on-the-job training and experience.
  • Ability to learn quickly and adapt to the court's computer software system.
  • Knowledge/ability to learn court system operations.
  • Ability to identify and initiate work tasks with minimal supervision.
  • Strong attention to detail.
  • Ability to perform basic mathematics.
  • Strong grammar, writing, and verbal communication skills.
  • Ability to organize work, set priorities, and meet critical Court deadlines.
  • Ability to adapt to technological and work environment changes.
  • Ability to maintain confidentiality of Court documents and records.
  • Working knowledge of Microsoft Office programs including Word, Excel, Outlook, and Adobe Acrobat.
  • Strong customer service skills with the ability to remain calm in stressful situations.
  • Ability to maintain harmonious and effective working relationships with other employees, supervisors, and other departments.
