About the position

The Deputy to the Vice Provost and Chief of Staff for the University of Texas Libraries plays a crucial role in providing executive-level, strategic support to the Vice Provost of UT Libraries. This position is integral to the leadership team, collaborating with senior leadership, colleagues, and stakeholders to advance the strategic objectives of the Libraries and the University. The Deputy will lead operational actions within the Office of the Vice Provost, facilitating effective decision-making, planning, and communication across various leadership councils. This role requires a strong focus on strategic facilitation, ensuring that program initiatives align with the Libraries' vision and overseeing the implementation of the strategic roadmap. The Deputy will also manage a small team that provides administrative and event support, streamlining operational activities in consultation with senior leadership. In addition to leadership and strategic facilitation, the Deputy will be responsible for providing independent analysis and judgment to ensure that strategic and operational priorities progress in a timely manner. This includes handling confidential information with discretion and establishing strong collaborative relationships with stakeholders across the Libraries and the university. The Deputy will support the Vice Provost by conducting research to prepare for meetings and other activities, as well as managing public-facing communications and internal communications for the Vice Provost. This role is essential for maintaining a coordinated and well-developed communication strategy within the Libraries and ensuring that the Vice Provost is well-prepared for various engagements.

Responsibilities

  • Serve as a member of the Vice Provost's senior leadership team.
  • Lead the operational actions of the Office of the Vice Provost to facilitate effective decisions, planning, and communication across the senior leadership of UT Libraries.
  • Serve as an adviser and consultant to the senior leadership team.
  • Collaborate with colleagues to ensure strategic planning and program initiatives are in alignment with UT Libraries' vision.
  • Oversee and facilitate implementation of UT Libraries' strategic road map.
  • Coordinate with senior library leadership, managers, and staff throughout the organization to connect efforts, remove barriers, and advance strategic goals.
  • Provide regular updates to the Vice Provost and advise on planning adjustments as necessary.
  • Develop and implement a communications plan with the Vice Provost and senior leadership team.
  • Track and assess progress toward strategic goals.
  • Oversee and manage a small team in the Vice Provost's Office that provides administrative and event support.
  • Streamline operational activities within the office in consultation with senior leadership.
  • Provide independent analysis and judgment to ensure strategic and operational priorities progress in a timely fashion.
  • Handle confidential information with discretion.
  • Establish and maintain strong collaborative relationships with stakeholders across UT Libraries and the university as well as external constituents.
  • Provide research to ensure the Vice Provost is well-prepared for meetings and other internal and external activities as necessary.
  • Serve as designate for the Vice Provost as needed.
  • Provide direct oversight of the Vice Provost's public-facing communications ensuring a coordinated and well-developed strategy with the UT Libraries' Communications Officer.
  • Manage the Vice Provost's internal communications including drafting written materials, speeches, remarks, as well as talking points for use in speaking engagements with internal and external constituents.

Requirements

  • Bachelor's degree.
  • Eight years of relevant experience with at least three of those years supporting senior positions in a leadership role.
  • Experience successfully developing, implementing, and advancing a broad range of initiatives in a complex workplace environment.
  • Demonstrated ability to successfully plan, manage, and complete projects with high attention to detail.
  • Experience establishing and engaging ongoing collaborative communication with interdisciplinary partners across the organization that ensures an inclusive environment.
  • Excellent interpersonal, intercultural, and communication (written and verbal) skills with an emphasis on diplomacy.
  • Experience in facilitation and presenting to groups.
  • Demonstrated ability to be flexible and adapt to changing priorities.

Nice-to-haves

  • Advanced degree.
  • More than three years of experience supporting senior positions in a leadership role.
  • Experience in a higher education, research institution, academic library, or cultural heritage organization.
