About the position

Desk Operations Specialists, formerly known as Clinical Assistants, play a crucial role in the healthcare environment by working closely with physicians and other healthcare professionals to anticipate and respond to patient needs effectively. This position involves a variety of responsibilities aimed at ensuring a smooth and efficient patient experience during their visit. As a Desk Operations Specialist, you will serve as a direct contact and resource for patients, preparing them for their appointments by performing essential check-in procedures and rooming for providers. You will also be responsible for collecting patient vitals and completing pre-examination record information, which is vital for the healthcare team to provide the best care possible. In addition to these tasks, you will manage the scheduling of follow-up appointments and oversee the flow of patient materials, ensuring that everything is organized and ready for the healthcare team. Communication is key in this role, as you will need to inform patients about any scheduling delays or changes and assist them with wayfinding within the facility. The position may also require you to perform additional direct patient care duties as needed, making it a dynamic and engaging role within the healthcare setting. This position is 100% on-site, and there are various Desk Operations Specialist positions available across multiple locations. The schedules and shifts for these roles will depend on the availability of positions at any given time, and applicants will be pooled for consideration by all active hiring managers. This means that while you may apply for this role, you are not applying for a specific area, allowing for flexibility in placement based on the needs of the organization.

Responsibilities

  • Serve as a direct contact and resource to the patient.

Requirements

  • High school diploma or GED and a minimum of two years' customer service experience in a multi-tasking environment, such as a call center, administrative/physician's office, appointment scheduler, or retail/service industry; OR an Associate's Degree.
  • Excellent communication and interpersonal skills.
  • Superior customer service skills.
  • Desire to work in a team environment.
  • Computer skills including Windows-based applications and intranet/internet use with the ability to keyboard and navigate through multiple applications.
  • Problem-solving and decision-making skills.
  • Ability to multi-task and prioritize.
  • Adaptable to change.
  • Basic Life Support (BLS) certification may be required in some areas.

Nice-to-haves

  • Completion of a Medical Terminology course within six months of employment.
  • Ability to adjust work schedules in response to department or clinical needs.
