About the position

The Development and Special Events Coordinator plays a crucial role in supporting fundraising events and community activities for Casa Pacifica Centers for Children & Families. This position involves working closely with the Special Events Manager to coordinate various events, manage vendor relationships, and facilitate volunteer engagement, all aimed at enhancing community connections and fundraising efforts.

Responsibilities

  • Provides event support for various fundraising events including the Angels Wine, Food & Brew Festival, Yummie Top Chef Dinner, and others.
  • Coordinates the silent auction, including organization of items and tracking of donation letters.
  • Assists in preparing materials for vendor registrations and processing vendor sign-ups.
  • Documents event meetings and communicates post-meeting information.
  • Acts as a liaison between volunteers and the Development Department, ensuring effective communication and collaboration.
  • Prepares mailings in a timely manner for event promotions and communications.
  • Tracks event income and expense reports, assisting with solicitation letters as needed.
  • Works closely with the Development Database Administrator to track and reconcile donations.
  • Communicates with vendors, donors, and sponsors in a timely manner to maintain relationships.
  • Gives tours to community members interested in Casa Pacifica.

Requirements

  • Minimum of 2 years' experience in fundraising event planning.
  • Bachelor's degree in Communications, Marketing Communications, or Event Planning and Management preferred.
  • Proficiency in Microsoft Office applications, particularly Word and Excel.
  • Strong knowledge of social media marketing platforms.

Nice-to-haves

  • Experience in community engagement and volunteer coordination.
  • Familiarity with fundraising databases and tracking systems.
