About the position

The Development Assistant Sr / Inter for Mental Health Programs provides high-level administrative support to a team of development professionals. This role is essential in managing various tasks to relieve professional staff of administrative duties, ensuring smooth operations in a fast-paced environment. The assistant will prepare legal documents, coordinate donor meetings, and manage communications with donors and prospects, all while maintaining a high level of accuracy and confidentiality.

Responsibilities

  • Provide high-level administrative support to development professionals in Mental Health.
  • Prepare legal documents and correspondence with high accuracy.
  • Arrange donor and prospect meetings, including itineraries and refreshments.
  • Communicate frequently with donors, prospects, faculty, and administrators.
  • Run reports and access information from donor databases.
  • Participate in team events and assist with planning and execution of visits and events.
  • Manage and coordinate calendars and schedule complex meetings.
  • Prepare P-Card and hosting documentation for reconciliation.
  • Handle inquiries of a highly sensitive and confidential nature.
  • Coordinate travel and event-related activities.

Requirements

  • High school degree or equivalent education.
  • At least 4 years of progressively responsible administrative support experience, preferably in a fundraising environment.
  • At least 2 years of progressively responsible administrative support experience, preferably in a fundraising environment.
  • Ability to manage multiple priorities and meet challenging deadlines.
  • Excellent skills in Microsoft Office Suite (Word, PowerPoint, Excel, Visio, etc.).
  • Experience in creating databases and generating reports from internal databases.
  • Self-motivated and dependable independent worker with problem-solving skills.
  • Excellent verbal, written, and organizational skills.
  • Strong commitment to philanthropy at the UM Health System.
  • Discretion and ability to interact with top-tier donors confidentially.
  • Ability to work effectively with frequent interruptions.
  • Demonstrated ability to develop good working relationships with internal and external groups.
  • Superb attention to detail.
  • Ability to work flexible hours with occasional weekend and evening work.
  • Ability to lift 10 pounds.

Nice-to-haves

  • Bachelor's Degree
  • Comprehensive knowledge of the University of Michigan and Michigan Medicine System operations and procedures.
  • Familiarity with DART and other development reporting systems.
