About the position

The Oceanographic Teaching Stations, Inc. (OTS) is seeking a Development, Marketing and Communications Coordinator to help us embark on a new level of growth and engagement for the next three years and beyond. The Coordinator will arrive at a time of evolution within the organization and can build new approaches to development, marketing and communications while solidifying existing systems and infrastructure that support growth. The Coordinator will be a key member of the OTS development team who will develop and implement fundraising, communications, and administrative strategies and work on special projects. The Development, Marketing and Communications Coordinator will support the Roundhouse Aquarium's strategic fundraising, marketing, and communications initiatives to power all programs and operating requirements. The individual in this role will be a generalist with working knowledge of all facets of fundraising, including but not limited to grant making; donor cultivation and stewardship; advancement communications; database and CRM coordination and maintenance; digital communications; media relations; and other relevant functions to fundraising, marketing, and communications.

Responsibilities

  • Support the Roundhouse Aquarium's fundraising, marketing, communications, programs, and initiatives to achieve the organization's annual and long-term financial and partnership goals.
  • Support the Roundhouse Aquarium's major gifts program, planned giving, special events, capital campaigns, marketing and communications, including supporting OTS' digital assets, marketing campaigns and the creation of creative materials (i.e., flyers, email communications, social media content, newsletters, annual reports).
  • Assist in implementation of Roundhouse Aquarium's recently adopted 3 Year Strategic Fundraising Plan.
  • Help foster a culture of philanthropy that ensures supporters at all levels of giving are cultivated and stewarded.
  • Work closely with the Executive Director on budgeting, grant coordination and reporting processes to ensure compelling fundraising messaging.
  • Using creative, strategic, and effective development strategies, support the preparation and implementation of fundraising plans for annual operations, reserves, and special campaigns.
  • Support all strategic initiatives to identify, cultivate, solicit, and maintain positive relationships with major donors and foundations, as well as identify and bring in new donor prospects, sustain grassroots members, and help increase overall contributions.
  • Provide support and research prospective donors and other fundraising sources including foundations, individual donors, planned gifts, businesses, and corporations.
  • Coordinate annual appeals, special events, and online and social media fundraising campaigns.
  • Support data entry, tracking and management of gifts and donor profiles.
  • Process check donations, prepare thank you letters, and maintain all donor records according to processing guidelines and procedures.
  • Maintain and update donor databases (Bloomerang, QGiv).
  • Manage the development dashboard and pipelines on OTS' donor management database and generate reports as needed.
  • Coordinate planning and production of events, including logistics, program, invitations, marketing, and acquisition of donations.
  • Correspond with donors and other supporters via email, mail, and phone as required.
  • Prepare meeting materials and fundraising reports.
  • Assist in crafting and designing effective communications and messages that help engage, educate, and steward prospects and donors to maintain interest and excitement for our mission.
  • Create and organize social media posts, including original content and video.
  • Assist with content creation, design and distribution of electronic newsletters, email blasts, annual reports, year-end appeal email and digital mailings, social media, website, and other collateral materials.
  • Support the promotion of positive media interest for projects and events in collaboration with staff and community partners.
  • Attend community events and help increase the organization's visibility.
  • Seek public speaking opportunities for Board members, the Executive Director, and Roundhouse Aquarium scientists as subject matter experts.
  • Coordinate and update the website using WordPress.
  • Perform regular reporting and analytics of digital and print marketing efforts.

Requirements

  • Bachelor's degree required.
  • Entry-level experience in development, marketing, or communications.
  • Strong written and verbal communication skills.
  • Ability to work collaboratively with a team and independently.
  • Familiarity with donor management databases, preferably Bloomerang and QGiv.
  • Proficiency in social media platforms and digital marketing strategies.
  • Experience in event planning and coordination.

Nice-to-haves

  • Experience in fundraising or non-profit sector.
  • Knowledge of marine science or environmental issues.
  • Graphic design skills for creating marketing materials.
