About the position

The Development Operations and Database Administrator plays a crucial role in supporting the Philanthropy + Engagement team at The Stewpot. This position involves administrative support, database management, and ensuring smooth office operations while working closely with various team members and the Executive Director. The role is essential for maintaining organized files, managing donor relations, and assisting with grant writing and reporting.

Responsibilities

  • Provide administrative support for the Philanthropy + Engagement team.
  • Maintain and organize department files.
  • Ensure smooth office operations.
  • Prepare in-house mailing lists and manage the printing and mailing of marketing materials to key donors.
  • Write grant reports and provide grant writing backup as needed.
  • Collaborate with the Development Coordinator to maximize database usefulness and ensure accurate data entry.
  • Identify, track, and follow up on all gifts for The Stewpot.
  • Enter gifts promptly into the donor database and print donor acknowledgment letters.
  • Reconcile gifts recorded in the donor database with accounting records weekly.
  • Prepare necessary database reports.
  • Manage vendor and budgeting needs for the department, assisting with the annual budget.
  • Support Stewpot events and Alliance efforts, including the annual Soups On luncheon.
  • Track program goals, outcomes, and statistical information on an annual basis.

Requirements

  • Bachelor's degree or equivalent training/experience in business or not-for-profit organizations.
  • Experience in bookkeeping and development/fundraising for not-for-profit organizations.
  • Preferred office management experience.
  • Excellent writing skills.
  • Experience with grant writing/reporting and donor acknowledgment processes.
  • Strong donor database management skills, including gift entry and reporting.
  • Comfortable engaging with donors in person, at events, and by phone.
  • Self-motivated with the ability to work independently.
  • Excellent organizational skills and attention to detail, with the ability to meet deadlines.
  • Demonstrated passion for service to others.
  • Ability to work collaboratively with diverse personalities and backgrounds.
  • Proficiency with computers and knowledge of Microsoft Office Suite.
