This position is responsible for a variety of administrative tasks that support the team’s fundraising efforts, which include managing general office operations, preparing and reviewing correspondence, handling travel details, processing expense reimbursements, and managing gift documentation. The coordinator will also oversee proposal management and prospect management, ensuring that the team operates efficiently and effectively in their fundraising initiatives. The gifts handled by this position typically range from $25,000 to several million dollars, highlighting the importance of accuracy and attention to detail in all tasks performed. In addition to administrative duties, the Development Operations Coordinator will assist with website and advertisement management, ensuring that all communications reflect the university's commitment to diversity, equity, and inclusion. This role requires frequent interaction with various positions within the University Advancement Division, fostering a collaborative environment that supports the university's mission and values. The coordinator will also be responsible for training and managing any student hourly employees hired by the Office of Gift Planning, ensuring that all team members contribute to an inclusive and supportive workplace. This role is essential for maintaining the operational integrity of the Gift Planning team and supporting the university's broader fundraising goals.

Responsibilities

  • Manage and monitor the process to book revocable commitments established by the Gift Planning team.
  • Review gift proposals on the donor database to ensure consistency with donor submissions.
  • Work with fundraisers to update proposals as needed.
  • Partner with CSU Foundation to track status of revocable commitments for deceased individuals.
  • Interact with donors and disseminate information packets to them and internal constituents.
  • Coordinate birthday card mailings for the Frontier Legacy Society.
  • Collaborate with the central Donor Relations and Stewardship team on stewardship efforts.
  • Implement and coordinate marketing plans with third-party vendors for website maintenance and communications.
  • Manage the budget for the annual marketing plan and oversee marketing materials.
  • Manage financial transactions for Gift Planning and maintain knowledge of PCard policies.
  • Organize and manage office storage space and ensure a clean, organized office environment.

Requirements

  • Bachelor's degree from an accredited institution by hire date.
  • Minimum of 3 years' experience in an administrative or project/office management role.
  • Demonstrated engagement and support of diverse individuals and perspectives.
  • Ability to work non-standard hours, including early mornings, evenings, and some weekends.
  • Valid driver's license or access to a licensed driver by the employment start date.
