About the position

The NAACP Legal Defense & Educational Fund, Inc. (LDF) is seeking an experienced, dynamic, and passionate Development Project Administrator to provide essential administrative support to the Chief Development Officer (CDO) and the Development Department. This role is pivotal in ensuring the smooth operation of the department's activities, which include drafting correspondence, conducting research on donor and prospect information, developing prospect lists, coordinating meetings, and responding to various requests from the CDO. The Development Project Administrator will play a crucial role in managing the department's database, specifically using Blackbaud Raiser's Edge, to organize and extract large amounts of data effectively. In this position, the Development Project Administrator will serve as the point person for all matters assigned by the CDO, providing tactical, logistical, and administrative support. This includes updating presentations, preparing for Board and Senior Leadership Team (SLT) meetings, and following up on all donor and prospect interactions. The role also involves conducting research on institutional and individual donors, coordinating virtual programs to engage and steward donors, and managing the CDO's calendar, including meetings, conference calls, and travel arrangements. The successful candidate will be responsible for preparing customized acknowledgment letters and other correspondence to support the management of the CDO's portfolio and other Senior Leadership members' gift officers' portfolios. As LDF has transitioned to a hybrid work environment, candidates should be prepared to work in the office at least two days per week. Responsibilities

  • Serve as the point person on all assigned matters for the Chief Development Officer, providing tactical, logistics, and administrative support.
  • Conduct research on institutional/individual donors/prospects and update the Chief Development Officer.
  • Coordinate all virtual programs on content to steward donors and work with the Chief Development Officer to shape an external strategy on Development.
  • Run, organize, and extract large amounts of data using Blackbaud Raiser's Edge.
  • Prepare timely customized acknowledgment letters and other correspondence to support management of the CDO's portfolio and other Senior Leadership members' gift officers' portfolios.
  • Enter and update donor/prospect information and meeting notes into Blackbaud Raiser's Edge database with efficiency and accuracy.
  • Oversee the Chief Development Officer's calendar and coordinate meeting logistics including preparation and circulating agendas, reserving conference rooms, and arranging catering.
  • Manage various projects within the department as assigned by the CDO, such as prospect management support, systems development, and departmental events.
  • Triaging informational calls and emails from donors and potential partners, directing them to the appropriate parties.

Requirements

  • Bachelor's degree required.
  • Minimum 4 years of business experience in fundraising.
  • Strong CRM software skills are essential.
  • Highly motivated, professional demeanor, respectful of confidentiality, trustworthy, and reliable.

  • Excellent administrative, organizational, and time management skills.
  • Excellent writing skills, including grammar, punctuation, and syntax.
  • Proficient in MS Office suite (Outlook, Word, Excel, PowerPoint) and Adobe products.
  • Ability to conduct internet research and summarize results in presentations and memorandums.
  • Superior judgment and strong analytical skills.
