About the position

The Diagnostic Coordinator plays a vital role in the healthcare team, focusing on delivering high-quality patient support through the coordination of diagnostic orders. This position ensures a seamless process from the initial order request to the final appointment, enhancing patient care and satisfaction while maintaining meticulous documentation and communication.

Responsibilities

  • Handle fast-paced volume of inbound and outbound calls in a professional and courteous manner.
  • Schedule patient appointments accurately and efficiently, ensuring optimal use of multiple resources.
  • Utilize in-depth knowledge of insurance policies, payor plans, and copays to manage patients' diagnostic appointments.
  • Coordinate diagnostic order processing for various procedures such as Mammograms, Ultrasound, Labs, x-ray, CT, MRI, etc.
  • Maintain up-to-date patient records and ensure all necessary documentation is completed.
  • Provide patients with information about their appointments, including location, preparation instructions, and required documentation.
  • Maintain key performance metrics, such as call volume and appointment scheduling accuracy.
  • Resolve patient inquiries and issues promptly and escalate complex cases to the appropriate personnel.
  • Assist with various departmental projects and clerical duties as assigned.

Requirements

  • High school diploma or equivalent.
  • Minimum 1-2 years experience in a call center or customer service role.
  • Strong organizational and multitasking abilities.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable using electronic health record (EHR) systems.
  • Ability to work effectively in a fast-paced environment and meet performance metrics.
  • Detail-oriented with a strong focus on accuracy and quality.
  • Compassionate and patient-focused approach to customer service.
  • Strong typing skills with a minimum of 40 wpm expectation.
  • General knowledge of healthcare terminology and abbreviations.

Nice-to-haves

  • Associate's degree.
  • 2-5 years working in a medical office or scheduling role.
  • Previous healthcare experience.
