About the position

The Direct to Consumer Assistant at Hess Persson Estates plays a crucial role in supporting the wine club, ecommerce, email, and SMS initiatives. This position requires a nimble and team-oriented individual who can also work autonomously. The assistant will be responsible for managing customer interactions through phone calls and emails, as well as overseeing customer systems to assist the Direct to Consumer (DTC) Manager with customer service and event coordination. The role emphasizes a guest-focused approach to email and tele-sales programs, ensuring that customer needs are met effectively and efficiently. In this position, the assistant will primarily serve as the main point of contact for Wine Club members, handling inquiries and managing the Wine Club database. This includes updating member information, processing applications and orders, and managing wine shipments. The assistant will also provide customer service for wine shipment inquiries and assist with inventory management. Additionally, the role involves supporting ecommerce efforts, including maintaining online wine shops, conducting quality assurance testing for email campaigns, and ensuring that product information is accurate and up-to-date. Event support is another key aspect of this role, where the assistant will collaborate with the DTC Manager and Hospitality Manager to coordinate events, providing assistance both on-site and off-site as needed. This may include pouring wine, setting up, and tearing down events, sometimes requiring after-hours or weekend work. Overall, the Direct to Consumer Assistant is integral to enhancing the customer experience and supporting the operational success of Hess Persson Estates.

Responsibilities

  • Primary contact for Wine Club members online and via phone.
  • Manage Wine Club database, including updating member information and filing records.
  • Process Wine Club applications and orders, including on-site generated orders and phone/email orders.
  • Set up and process wine club shipments.
  • Provide customer service for wine shipment inquiries, returns, or damaged/lost orders.
  • Assist with Wine Club inventory management and provide training for hospitality staff.
  • Support ecommerce efforts, including maintenance, orders, and customer service for online wine shops.
  • Conduct QA testing of email campaigns and ensure product information is current online.
  • Assist with online product setups, including light graphics work and inventory maintenance.
  • Create and set up SMS campaigns under the direction of the DTC and Ecommerce Manager.
  • Assist DTC Manager & Hospitality Manager with event coordination and support.

Requirements

  • Excellent verbal, written, and interpersonal skills.
  • Self-directed with high personal quality expectations and a solid team player.
  • Strong organizational skills with attention to detail and high level of accuracy.
  • Ability to demonstrate a friendly and helpful manner to visitors, callers, and employees.
  • Proficiency in Microsoft Word, Excel, and Outlook.
  • Experience with Email Systems, Tock, WordPress, Google Analytics, and similar software is a plus.
  • High School diploma or GED; Bachelor's degree desirable.
