About the position

The Director of Athletic Operations & Events at Bucknell University plays a crucial role in managing the scheduling and execution of athletic events and facility operations. This position is integral to the success of the department, serving as the primary facility scheduler and game day events manager. Reporting directly to the Assistant Athletic Director, the Director collaborates with various internal university offices, coaching staff, student-athletes, outside groups, and spectators to ensure seamless event execution and facility management. In the realm of event management, the Director is responsible for overseeing Division I athletic competitions and special events, including prestigious tournaments such as the Patriot League and NCAA Championships, as well as PIAA High School Championships. This involves meticulous planning, scheduling, and supervision of all operational aspects to guarantee a smooth experience for participants, officials, visiting institutions, and fans. The Director coordinates a wide array of logistical elements, including ticket operations, equipment management, public safety, technology, sports medicine, and marketing, while also managing part-time or student facility staff. Additionally, the Director is tasked with developing and managing communications for visiting teams and scheduling their practice times. On the facility management side, the Director coordinates practice schedules for multiple athletic facilities, including Sojka Pavilion, Davis Gymnasium, Gerhard Fieldhouse, and various outdoor venues. This role also includes maintaining the department's Emergency Action Plans (EAPs) and Event Emergency Plans (EEPs) for all athletic facilities, managing access control for keys and card access, and assisting with budgetary decisions that align with the department's strategic priorities. The Director is expected to perform any other duties deemed necessary for the effective functioning of the Event Management area, contributing to Bucknell's commitment to diversity and inclusion in all aspects of the role.

Responsibilities

  • Serve as event manager for Division I athletic competitions and special events.
  • Plan, schedule, supervise, and recap operations of internal and external events.
  • Coordinate a wide range of areas across campus including ticket operations, equipment, public safety, technology, and marketing.
  • Schedule event staffing with internal and external constituents through the University scheduling platform.
  • Manage assigned events, facility operations, and auxiliary services as necessary.
  • Develop and manage Visiting Team Information mailings and practice scheduling.
  • Coordinate practice scheduling for various athletic facilities.
  • Maintain the Department's Emergency Action Plans (EAPs) and Event Emergency Plans (EEPs).
  • Manage facility access control requirements for keys and card access.
  • Assist with budgeting decisions consistent with the department's priorities.
  • Perform any other duties necessary for the functioning and success of the Event Management area.

Requirements

  • Bachelor's degree in a relevant field.
  • Two years of experience in athletic events or operations.
  • Prior experience supervising staff in operations or events planning.
  • Strong interpersonal skills to communicate and work collaboratively with diverse individuals.
  • Ability to provide excellent customer service.
  • Self-starter with the ability to balance multiple tasks and produce high-quality work under tight deadlines.
  • Availability to manage a work schedule that includes evening and weekend work.

Nice-to-haves

  • Master's degree in a relevant field.
  • Three years of experience in athletic events or operations.
  • Experience with EMS facility scheduling/management software or similar.
