About the position

This position plays a crucial role in managing the production of meetings, activities, and events for the governing boards of Wake Forest University, including the Board of Trustees and Health Sciences. The role involves overseeing logistical, operational, and strategic objectives, exercising discretion and independent judgment, and collaborating with various stakeholders to support the boards' functions.

Responsibilities

  • Manage day-to-day operations of the University's governing boards.
  • Assist the Board Secretary and Assistant Secretary with strategic planning and logistics.
  • Direct coordination and preparation for board and committee meetings, briefings, and events.
  • Schedule meetings and maintain the central calendar for board activities.
  • Manage communications with board members and other constituencies.
  • Oversee logistics and technology for meetings, coordinating with various support teams.
  • Ensure the President has necessary materials for meetings and events.
  • Provide administrative support for the Board Chair and Vice Chairs.
  • Manage the online electronic board portal and provide user support.
  • Prepare and maintain recordings and archiving of board materials.
  • Manage a database of documents and contact information for board personnel.
  • Coordinate event management software and logistics for meetings and events.
  • Prepare and distribute materials to board members and administrators.
  • Manage requests for information from various constituencies.
  • Coordinate review of contracts and agreements for board meetings and events.
  • Track board-related expenses and report on budget status.
  • Supervise updates to directories and informational materials for Trustees.

Requirements

  • Bachelor's degree from an accredited institution; paralegal degree or certification preferred.
  • Minimum of three years related experience in higher education, organizational governance, or legal environment.
  • Strong interpersonal and communication skills to work effectively with diverse constituencies.
  • Ability to maintain confidentiality and understand complex information.
  • Excellent verbal and written communication skills, including grammar and editing.
  • Ability to work independently and exercise judgment and discretion.
  • High degree of self-motivation and ability to thrive in a dynamic environment.
  • Strong organizational skills with the ability to manage multiple activities and deadlines.
  • Exceptional attention to detail and ability to complete tasks timely.
  • Proficient in Microsoft Office Suite, Google Suite, and relevant software.

Nice-to-haves

  • Master's degree; Paralegal degree or certification preferred.
