About the position

Seattle University has an exciting, dynamic opportunity for a Director of Finance and Administration for Facilities and Campus Services to join our community. The Director of Finance and Administration reports to the Associate Vice President of Facilities (AVP). This position provides budgeting support and financial controls for the Facilities and Campus Services organizations consisting of eleven departments and over ninety staff with annual expenditures of $20M and annual revenue of $6M. The Director will play a crucial role in budget planning and analysis, supporting the AVP in the development of the annual budget and revenue projections. This includes performing financial analysis such as cost modeling, spending trends, budget projections, and cost/benefit analyses for the implementation of short and long-term departmental financial plans. The Director will serve as the primary point of contact between the University Budget Office and Facilities and Campus Services, ensuring effective communication and collaboration. In terms of fiscal management, the Director will develop and implement departmental short and long-term financial plans, working closely with the AVP and Directors in the day-to-day administration and monitoring of revenue, operating, lease, and capital budgets. The role also involves developing, implementing, and maintaining effective project controls and cost reporting for capital and project-related expenditures, as well as preparing and reviewing monthly financial reports and key performance indicators for the Facilities and Campus Services team. The Director will also oversee procurement and accounts payable management, serving as the Facilities point of contact with the Procurement Office and the Office of the Controller regarding procurement and accounts payable issues. Additionally, the Director will manage and monitor the Facilities and Campus Services internet and intranet pages, ensuring they are up to date, functional, accessible, and secure, while also preparing regular communications to keep the campus community informed about Facilities and Campus Services initiatives and projects. Supervisory responsibilities include overseeing Finance staff in Facilities, performing annual performance reviews, and managing professional development plans for staff. The Director will also support lease management by ensuring accurate and timely payment of all University real estate leases and reconciling lease budget base and CAM expenses. Other related duties may be assigned as necessary.

Responsibilities

  • Supports the AVP in the development of the annual budget and revenue projections.
  • Performs financial analysis: cost modeling, spending trends, budget projections, and cost/benefit analyses for implementation of short and long-term departmental financial plans.
  • Serves as primary point of contact between the University Budget Office and Facilities and Campus Services.
  • Supports the Budget Manager for the Finance Division.
  • Conducts quarterly reconciliation of UCR and Space Governance Committee/Annual Projects funds.
  • Develops and implements departmental short and long-term financial plans.
  • Works with the AVP and Directors in the day-to-day administration and monitoring of revenue, operating, lease, and capital budgets.
  • Develops, implements, and maintains effective project controls and cost reporting for capital and project-related expenditures.
  • Communicates status of capital, operating, and revenue budgets, budget transfers, and accounting adjustments to Facilities and Campus Services management team.
  • Responsible for preparation and review of monthly financial reports and key performance indicators for the Facilities and Campus Services team.
  • Serves as Facilities point of contact with Procurement Office & Office of the Controller regarding procurement & accounts payable issues in Facilities.
  • Establishes and monitors internal fiscal controls in line with established University accounting principles.
  • Manages and monitors the Facilities and Campus Services internet and intranet pages to ensure they are up to date, functional, accessible, and secure.
  • Prepares and issues regular communications to keep the campus community advised on Facilities and Campus Services initiatives and projects.
  • Supervises Finance staff in Facilities, Facilities Office Manager, and Student Workers in the Finance and Administration areas of Facilities and Campus Services.
  • Supports the Director of Planning and Real Estate and the Controller's office to ensure accurate and timely payment of all University real estate leases.

Requirements

  • Bachelor's degree in Business with an emphasis in accounting or finance, or an equivalent combination of experience and demonstrated expertise in fiscal management and analysis.
  • Minimum of 10 years' experience in fiscal management, five of which should include development, implementation, and analysis of facilities-related capital and operational budgets.
  • Master's degree in a closely related field may substitute for two years of required work experience.
  • Demonstrated understanding of facilities and campus services along with a strong understanding of financial trends.
  • Ability to produce and communicate financial reports readily understood by a diverse audience of administrative staff, students, and trades against established deadlines.
  • Demonstrated ability to manage confidential information.
