About the position

The Director of Operations at the Great Neck Vigilant Engine & Hook & Ladder Company (GNVFD) is a key leadership role responsible for overseeing the department's paid employees and ensuring the effective delivery of fire protection and emergency medical services. This position involves collaboration with the Board of Trustees, Chief of the Department, and other stakeholders to maintain operational standards, manage employee records, and develop policies that support a professional work environment. The Director will also supervise various staff members, manage budgets, and ensure compliance with state regulations.

Responsibilities

  • Supervise Clerk and Foreman, reporting to the Chief and the Board of Trustees.
  • Conduct biannual reviews of Clerk and Foreman, reporting to the Board of Trustees in executive session.
  • Develop and maintain a policy handbook for employees and members in conjunction with the Board, Chief, President, Clerk, and Company attorneys.
  • Work with the Chief to maintain a standard operating guide.
  • Ensure timely completion of all State reporting, working with the Chief, Foreman, and Assistant Foreman, reporting to the Board.
  • Maintain all PESH documentation including mandatory training, reporting to the Board and the Chief.
  • Ensure all employee and member training files are up to date, reporting to the Board and the Chief.
  • Maintain documentation on annual member and employee physicals, reporting to the Board and the Chief.
  • Work with Foreman, Assistant Foreman, and Medical Director to ensure emergency medical operations documentation is current, reporting to the Board and the Chief.
  • Develop formal maintenance programs for all equipment and the physical plant, reporting to the Board and the Chief.
  • Maintain all employee files and ensure timely completion of bi-annual employee reviews, working with the Chief and Foreman.
  • Supervise management of all purchase orders and ensure timely payment of bills, reporting to the Board.
  • Review budgetary coding by the Clerk, Foreman, and Assistant Foreman, and maintain a live budget accessible by the Board.
  • Assist with preparation and maintenance of all federal, state, and local grants, reporting to the Board.
  • Supervise maintenance of accurate records for all service contracts, reporting to the Board.
  • Arrange all travel, including conventions and trainings, in conjunction with the Clerk, Chief, and President, reporting to the Board.
  • Prepare and maintain the yearly budget for presentation to the Board, ensuring timely agenda submissions.
  • Procure bids for purchases where applicable, presenting to the Board.
  • Prepare legal notices and ensure timely publication in local newspapers.
  • Prepare employee vacancy notices and manage advertising.
  • Supervise the creation and maintenance of a list of all equipment and its anticipated end of life for Board review.
  • Assist Treasurer and Clerk with monthly ambulance billing documents, presenting to the Board.
  • Maintain a log of all accounts, including passwords related to all accounts.
  • Ensure timely submission of monthly Trustee requests and create meeting agendas for the Board.

Requirements

  • A baccalaureate degree from an accredited college or an Associate Degree from an accredited college.
  • Work experience in managerial, administrative, and/or supervisory positions.
  • Relevant experience with an organization with similar needs.
  • Managerial and supervisory experience.
  • Outstanding judgement and strong influencing skills.
  • Intellectual curiosity and the ability to succeed in a fast-paced work environment.
  • Strong execution and project management skills, organized and detail-oriented.
  • Self-starter with high energy and a strong work ethic.
  • Solid interpersonal and relationship-building skills.
  • Excellent verbal and written communication skills.
  • Advanced computer skills, including Microsoft Excel and PowerPoint.
