About the position

The Director of Operations at Excel Facility Services is a pivotal role responsible for the development, implementation, and monitoring of the day-to-day systems and processes within the operations department. This position is designed to provide ongoing guidance and support to the operations employees, with a focus on enhancing job performance and satisfaction to benefit the organization as a whole. The Director will play a crucial role in driving the successful execution of the strategic operations plan by ensuring that key stakeholders have the necessary information and resources, removing obstacles, maximizing coordination across functional areas, and optimizing the operations department's structures, processes, and tools. This includes gathering and managing key performance indicators (KPIs), collecting internal stakeholder feedback, and collaborating with executive management to make necessary adjustments. In this role, the Director of Operations will be tasked with developing and leading new opportunities in a fast-paced environment. They will devise strategies to ensure growth by identifying and implementing process improvements that maximize output while minimizing costs, all while maintaining quality within the department. The Director will oversee internal and external reporting, ensuring timely submission of reports from operational staff, and the collection and organization of supporting documentation. They will also direct evaluation and assessment processes, including satisfaction surveys, to gauge service delivery, customer service effectiveness, and progress toward objectives. The Director will set strategic goals and implement strategies aimed at operational efficiency, increased productivity, and timely task completion. They will uphold company policies and compliance with contractual requirements, select and train staff, and perform administrative functions related to personnel management. This includes overseeing recruitment, screening, training, supervision, and evaluation of staff, while working closely with the Executive Director to foster a trusting and inclusive environment aligned with the company’s values. The role also involves analyzing information, maintaining organized communication, preparing reports, managing budgets, and networking with businesses to strengthen service delivery. Continuous learning and adaptation to changing duties and responsibilities are essential aspects of this position.

Responsibilities

  • Develop and lead new expanded opportunities in a fast-paced environment.
  • Devise strategies to ensure growth, identifying and implementing process improvements that maximize output and minimize costs while maintaining quality.
  • Oversee internal and external reporting, including timely submission of reports from operational staff and collection of supporting documentation.
  • Direct evaluation and assessment processes, including service delivery and customer service satisfaction surveys.
  • Set strategic goals and implement strategies for operational efficiency and increased productivity.
  • Maximize efficiency and productivity through process analysis and interdepartmental collaboration.
  • Uphold company policies and compliance with contractual requirements.
  • Select, train, direct, supervise, and evaluate staff, including administrative functions related to personnel management.
  • Provide oversight related to recruitment, screening, training, supervision, and evaluation of staff.
  • Work closely with Executive Director to lead the operation team and maintain a trusting, inclusive environment.
  • Analyze information and maintain organized email communication.
  • Prepare and submit timely reports and documentation.
  • Maintain budgets and monitor resource allocation to minimize costs and maximize impact.
  • Regularly review KPIs and operational issues with the Executive leadership team.
  • Network with businesses to identify resources and develop partnerships for service delivery.
  • Represent the organization in public forums as required.
  • Practice continuous learning through training and seminars.
  • Complete walk-thru of new and current locations and direct new roll-outs.
  • Collaborate with other divisions to achieve operational goals.
  • Identify training needs and ensure proper training is provided to the operation team.

Requirements

  • Bachelor's degree preferred but not required.
  • At least 5 years of industry-related experience, including two years in upper management.
  • Excellent verbal and written communication skills.
  • Strong management, supervisory, and leadership skills.
  • Extensive knowledge of industry principles and best practices.
  • Excellent organizational skills and attention to detail.
  • Strong analytical and problem-solving skills.
  • Proficient with Microsoft Office Suite, Epay, Corrigo, and related software.
