About the position

The Director of Workforce Planning at Trilogy Health Services is responsible for managing and coordinating the scheduling application systems, providing guidance and support to ensure effective use of these systems. This role involves overseeing training programs, maintaining vendor relations, and ensuring the accuracy and confidentiality of scheduling data. The Director will work collaboratively with interdisciplinary teams to enhance educational development and improve scheduling practices within the organization.

Responsibilities

  • Provide management, guidance, support, communication, and coordination of scheduling applications.
  • Administer and maintain scheduling systems and vendor relations.
  • Establish, organize, and supervise the education and training of the scheduling system.
  • Provide training and facilitate the adult learning process of the Company's scheduling systems.
  • Collaborate with interdisciplinary teams to support scheduling systems and analyze educational effectiveness.
  • Identify strategies for improving professional development activities and scheduling system practices.
  • Provide data and system reports to leadership as needed.
  • Evaluate factors related to effectiveness and manage system use for professional development activities.
  • Organize and assist in the development of training manuals and educational materials.
  • Participate in the development and revision of Employee Services and clinical policies and procedures.
  • Ensure SmartLinx invoices are accurate and submitted to Oracle for payment in a timely manner.
  • Review job positions in ADP Vantage and SmartLinx for accuracy and consistency.
  • Facilitate, coordinate, and conduct training programs and meetings.
  • Establish assessment tools and measure results of scheduling systems training programs.
  • Define creative solutions to problems and guide user groups to appropriate solutions.
  • Prepare detailed designs of new systems and programs to meet user needs, including project plans and budgets.
  • Provide application support and troubleshoot complex application issues.
  • Work with scheduling systems vendors to make necessary decisions.
  • Plan and schedule application development maintenance and coordinate system upgrades with business users.
  • Ensure all aspects of Payroll Based Journal are met and submitted to CMS in a timely manner.
  • Develop, test, and deploy internal software applications, tools, and custom reports.
  • Identify and evaluate new products and upgrades, providing resolutions for scheduling system problems.
  • Gather and compile information, analyze, and adjust discrepancies.
  • Oversee direct reports and delegate tasks as necessary.

Requirements

  • Bachelor's degree in a relevant field.
  • 3-5 years of experience in workforce planning or related field.

Nice-to-haves

  • Experience with Oracle and SmartLinx scheduling systems.
  • Strong communication skills for interaction with various stakeholders.
