About the position

The Director of the Office of the Executive Vice Chancellor at the University of Kansas Medical Center (KUMC) plays a crucial role in ensuring the effective operation of the EVC's office. This position involves primary support and scheduling for the EVC and the Chief of Staff, coordinating activities between KUMC and the University of Kansas Health System. The director is responsible for managing executive leadership searches, overseeing event planning, and collaborating with various departments to facilitate the EVC's initiatives and communications.

Responsibilities

  • Plans, organizes, and directs the flow of information for the Office of the Executive Vice Chancellor.
  • Assists the Chief of Staff with planning and coordinating special projects for the Executive Vice Chancellor.
  • Participates in the leadership recruitment search process for upper-level management positions.
  • Manages event planning activities for the Office of the Executive Vice Chancellor, including budgets and logistics.
  • Supervises one office executive assistant and various committees and initiatives.
  • Coordinates with external partners to ensure alignment of activities and events for the Executive Vice Chancellor's calendar.
  • Communicates with faculty, staff, and external stakeholders on behalf of the Executive Vice Chancellor.
  • Serves as the primary scheduler for the EVC and Chief of Staff, prioritizing meeting requests and managing the calendar.
  • Coordinates agendas for leadership meetings and secures topic presenters as necessary.
  • Manages the Executive Vice Chancellor's discretionary fund and budget for events.

Requirements

  • Bachelor's degree from an accredited college or university, or relevant experience in lieu of a degree.
  • 10 years of progressively responsible positions in an administrative support capacity.
  • Experience working with individuals at all levels of an organization.
  • Prior supervisory experience.
  • In-depth experience with Microsoft Office Suite, Adobe Acrobat, and standard office technologies.

  • 15 years of progressively responsible positions in an administrative support capacity.
  • Experience working in higher education or at the executive level of a large organization.
  • Excellent verbal and written communication skills.
  • Demonstrated ability to work under pressure and meet multiple deadlines.
  • Demonstrated ability to problem solve.
