About the position

The DISARC Office Manager is a full-time, temporary position responsible for providing administrative support to the Diversity & Inclusion Student Affinity and Resource Centers (DISARC) at Cal State East Bay. The role involves front-line reception duties, logistical coordination for events, managing student assistant hiring and payroll, and ensuring departmental operations run smoothly. The position requires collaboration with various stakeholders and the ability to handle a high volume of tasks in a busy office environment.

Responsibilities

  • Provides administrative support for department staff.
  • Maintains electronic calendars and departmental files.
  • Coordinates room reservations and schedules meetings.
  • Assists staff with travel arrangements and reimbursements.
  • Tracks and monitors office supplies and reorders when needed.
  • Organizes department supplies and logistical space.
  • Handles a broad range of interpersonal contacts, including sensitive inquiries.
  • Coordinates all telephone, IT, and equipment needs for the department.
  • Prepares and assembles detailed reports and correspondence.
  • Handles all department incoming and outgoing mail/correspondence.
  • Prepares and ensures timely processing of SEAFs for student assistants.
  • Trains new student staff on payroll policies and procedures.
  • Assists in processing and tracking budget and expense transfers.
  • Processes purchase orders and travel reimbursements.
  • Ensures department website(s) are reviewed and updated biannually.
  • Troubleshoots website issues and analyzes content for updates.

Requirements

  • Fully functional knowledge of standard office procedures and practices.
  • Ability to understand and operate in various organizational structures.
  • Thorough knowledge of English grammar, spelling, and punctuation.
  • Ability to communicate clearly both orally and in writing.
  • Knowledge of business mathematics beyond basic arithmetic.
  • Ability to use and quickly learn new office support technology systems and software packages.
  • Several years of related office work experience.

Nice-to-haves

  • A Bachelor's degree.
  • Two or more years of progressively responsible administrative assistant experience.
  • Ability to act and use excellent judgment in a fast-paced environment.
  • High degree of accuracy and attention to detail.
  • Demonstrated proficiency with Microsoft Office, including Word, Excel, and PowerPoint.
  • Knowledge of PeopleSoft applications preferred.
  • Experience reporting to management level.
  • Effective oral and written interpersonal communication skills.
  • Experience working with a diverse population.
