About the position

We are seeking a highly organized and detail-oriented Lead Coordinator/Dispatcher to join our growing HVAC team. The ideal candidate will have experience in dispatching, lead coordination, or both, and will play a crucial role in managing job schedules, dispatching technicians, and ensuring efficient operations. Familiarity with ServiceTitan is preferred, as you will work with this platform to streamline processes and track job progress.

Responsibilities

  • Coordinate and dispatch HVAC technicians to service, repair, and installation jobs efficiently.
  • Oversee the daily schedule, optimizing technician routes and ensuring timely responses to service calls.
  • Monitor and manage incoming leads, assigning them to appropriate team members based on skills and availability.
  • Communicate with customers regarding job status, technician arrival times, and any potential delays.
  • Use ServiceTitan to track job progress, technician availability, and update schedules as needed.
  • Collaborate with the sales team and service department to ensure leads are followed up promptly.
  • Maintain detailed records of all dispatched jobs, ensuring accuracy and timely completion of reports.
  • Troubleshoot and resolve scheduling conflicts, making real-time adjustments to ensure maximum efficiency.
  • Assist in managing customer complaints and escalate service issues when necessary.

Requirements

  • Minimum of 2 years of experience in dispatching, lead coordination, or a similar role, preferably in the HVAC or home services industry.
  • Experience with dispatching software, with ServiceTitan experience highly preferred.
  • Strong organizational skills and ability to manage multiple tasks simultaneously.
  • Excellent communication skills, both verbal and written.
  • Ability to work in a fast-paced environment and manage priorities effectively.
  • Proficiency with Microsoft Office (Word, Excel, Outlook).
  • Customer service-oriented mindset with strong problem-solving skills.
