About the position

The Dispatcher position at Alta Equipment Group involves coordinating service requests and managing technician schedules to ensure efficient operations within the Material Handling group. This full-time role requires strong organizational skills and the ability to communicate effectively with both customers and team members. The Dispatcher will be responsible for various administrative tasks, including invoicing, payroll entry, and maintaining technician logs, while also providing support to technicians in the field.

Responsibilities

  • Dispatch Technicians to handle service requests and preventive maintenance (PM)
  • Take, record and prioritize customer calls for service requests
  • Compile and complete customer summary invoicing
  • Organize and file paperwork for the department
  • Maintain Technician time log
  • Answer internal and customer service calls
  • Weekly payroll time card entry
  • Open and close work orders, accurately recording story lines into each order
  • Assist with invoicing & accounts receivables
  • Monitor PM running & tracking throughout the month
  • Audit completed work for weekly meetings
  • Schedule PM for technicians
  • Assist in dispatching the proper technician to customers
  • Monitor fleet service calls and assignments
  • Ensure technicians are on time at field accounts using Fleetmatics
  • Generate various reports related to PMs completed, overtime, and non-productive clocking
  • Assist Technicians with finding technical data
  • Incorporate Alta's Guiding Principles into daily activities
  • Perform other duties as assigned

Requirements

  • Previous dispatching, warranty administrative or mechanic experience is highly preferred
  • Strong technical knowledge base to answer technician questions
  • Strong computer skills and working knowledge of Microsoft Word, Excel, and Outlook; previous ERP experience is a plus
  • Excellent verbal and written communication skills
  • Excellent time management skills and ability to communicate with all levels of coworkers and customers
  • Intermediate language skills to read and interpret documents and write routine reports
  • Basic mathematical skills to perform operations using units of American money and weight measurement
  • Basic reasoning ability to apply common sense understanding to carry out detailed instructions
