About the position

The Distribution Customer Service Representative is responsible for managing all customer service activities, including responding to inquiries, processing orders, and handling complaints efficiently and courteously. This role involves interacting with customers, coordinating shipping requests, and ensuring proper invoicing and documentation for customer accounts.

Responsibilities

  • Respond to customer inquiries and complaints regarding work orders, invoices, shipments, and inventory counts in a courteous manner.
  • Process and input all customer orders accurately.
  • Produce stock reports to check for product availability.
  • Generate all necessary paperwork for customer work orders.
  • Coordinate special and last-minute shipping requests with the Traffic and Operations Departments.
  • Follow up with other departments to ensure service standards are met.
  • Verify computer-generated invoices to ensure proper invoicing of accounts.
  • Prepare shipping and tracing information for customers as required.
  • Maintain damage records and back order logs.
  • Communicate customer feedback to management, including signs of dissatisfaction.
  • Act as a liaison between the warehouse and customers regarding account administration and invoicing.
  • Oversee all paperwork associated with orders and maintain corresponding files.
  • Maintain an accurate procedure manual detailing processing requirements for each account.

Requirements

  • High School diploma or equivalent required.
  • Strong computer knowledge including MS Office applications.
  • Basic typing skills.
  • Familiarity with 10-key.
  • Experience with shipping software systems including UPS and Federal Express.
  • Excellent oral and written communication skills.
  • Strong customer service skills.
