About the position

Mills & Nebraska is seeking a highly motivated and energetic Division 8 Project Coordinator to join our growing project team at our Orlando, FL office. As a well-known distributor of commercial doors and hardware, we have been serving some of Central Florida's largest General Contractors for 90 years. The Project Coordinator will play a crucial role in ensuring that project operations run smoothly and efficiently. This position requires a proactive individual who can manage multiple tasks and communicate effectively with various stakeholders. The Project Coordinator will be responsible for reviewing and confirming incoming contract documents alongside the Estimator, Project Manager, and Contract Administrator to ensure alignment with bid proposals. This includes charting startup dates and coordinating submittal packages for each project, which involves procuring samples, color charts, shop drawings, and any other product literature requested by General Contractors. The role also entails reviewing all returned submittals, noting exceptions, and notifying the Project Manager to respond accordingly. In addition, the Project Coordinator will assist the Project Manager in organizing Kick Off Meetings prior to project start dates and will establish contact with installation crews to ensure daily jobsite reports are completed. The position requires following up on material orders, tracking incoming project shipments, and collaborating with the Operations Manager and Shipping Department on deliveries. The Project Coordinator will also prepare warranty documents from manufacturers and assist with communications to customers, vendors, and subcontractors when the Project Manager is unavailable. This role operates within company policies and applicable legislation, making necessary decisions to achieve the strategic and operational goals of Mills & Nebraska. However, the Project Coordinator does not have the authority to commit the company to capital expenditures or engage in outside business that conflicts with the company's interests.

Responsibilities

  • Review and confirm incoming contract documents with Estimator, Project Manager, and Contract Administrator.
  • Coordinate submittal packages for each project, including procuring samples and product literature.
  • Review all returned submittals and notify Project Manager of exceptions taken.
  • Follow up with Contract Administrator to ensure timely return of contracts.
  • Assist Project Manager in organizing Kick Off Meetings prior to project start dates.
  • Establish contact with installation crews to ensure daily jobsite reports are filled out.
  • Follow up on material orders and track incoming project shipments.
  • Work with Operations Manager and Shipping Department on outgoing deliveries.

Requirements

  • Proficient knowledge in MS Office programs, including Outlook email.
  • Ability to learn NAVISION and PROTECH software.
  • Strong basic math skills and analytical problem-solving skills.
  • Outstanding organizational skills and effective written communication skills.
  • Above average verbal communication skills and time management skills.
  • Minimum of 1-3 years of experience in a similar role, preferably in manufacturing or production.
