About the position

The Division Office Manager at Lawrence Berkeley National Laboratory plays a crucial role in supporting executive operations within the Environment, Health, & Safety (EHS) Division. This position involves managing communications, overseeing administrative staff, and ensuring the smooth operation of the division's activities. The ideal candidate will possess strong organizational skills, discretion, and the ability to handle complex scheduling and communication needs while interacting with senior management and external stakeholders.

Responsibilities

  • Provide executive level support to the Division Director and Deputy Division Director.
  • Act as a liaison to facilitate communication among the EHS Deputy, Division Director, and internal/external stakeholders.
  • Manage and triage incoming correspondence and communications, determining significance and priority.
  • Handle confidential information with discretion and diplomacy.
  • Create, edit, and review correspondence and presentations for clarity and professionalism.
  • Independently manage resources for timely preparation of meeting materials.
  • Compile high-quality briefing materials, meeting agendas, and talking points.
  • Develop and maintain effective relationships with DOE counterparts and other stakeholders.
  • Oversee travel arrangements and scheduling for the Division Office.
  • Supervise administrative staff, ensuring quality of work and timely delivery of services.

Requirements

  • Bachelor's degree and a minimum of seven years relevant operational and administrative experience.
  • Demonstrated administrative experience supporting senior-level management.
  • Ability to work independently on multiple complex assignments with minimal direction.
  • High caliber customer service skills, including professionalism and diplomacy.
  • Experience coordinating complex calendars and travel arrangements.
  • Editing skills for grammar, syntax, style, and clarity.
  • Ability to analyze and interpret policies and procedures of governing institutions.
  • Strong organizational and planning skills to manage competing priorities.
  • Advanced computer skills in Microsoft Office Suite and Google Suite.

Nice-to-haves

  • Advanced knowledge of DOE, UC, and LBNL administrative support policies.
  • Prior experience supervising administrative staff in a union environment.
  • Valid California Driver's License.
