About the position

The Division Payroll Specialist at Southland Industries is responsible for processing all aspects of the weekly union multi-state and multi-trade payroll for the division. This role requires exceptional customer service and support to union employees, coordinating as needed with division Foremen, Superintendents, and Construction Managers. The specialist will also provide accounting assistance to the Division Accounting Department and Corporate Payroll. In this position, the specialist will process weekly payroll for union employees at the division level, which includes managing multiple trade unions across various states. They will work closely with union employees and supervisors to ensure that time is approved, captured, and processed accurately and in a timely manner. The role involves administering accurate employee payroll records, including new hire paperwork, payroll form updates, status change forms, and employee terminations. Additionally, the specialist will monitor and track employee paid time off balances, providing updated reports to management regularly. The specialist will also coordinate and process any necessary payroll adjustments, ensuring that proper documentation is provided for wage rate or fringe adjustments, expense reports, travel pay, subsistence, allowances, or other pay corrections. They will prepare weekly job cost entries to transfer labor costs from overhead to specific jobs and assist operations with cost transfers for labor that was incorrectly coded. Furthermore, the specialist will prepare and submit weekly and monthly payroll reports, such as certified payroll, OCIP/CCIP reporting, employee change reports, and timesheet submission reports, ensuring compliance with all necessary documentation. Supporting the Division Payroll Team and Corporate Payroll, the specialist will ensure that payroll information is communicated timely and effectively while maintaining confidentiality and high levels of customer service. They may also assist with other special projects as required.

Responsibilities

Requirements

  • Proficiency in computer usage with intermediate to expert Excel skills.
  • Prior experience using various payroll processing and reporting systems.
  • Strong problem-solving abilities, including identifying and resolving payroll discrepancies.
  • Ability to maintain confidentiality and handle sensitive information discreetly.
  • Demonstrated multitasking skills and ability to meet critical deadlines under pressure.
  • Effective written and verbal communication skills with strong interpersonal skills.
  • Detail-oriented, highly organized, and possesses strong analytical capabilities.
  • High School Diploma required with a minimum of 2-3 years payroll or finance function experience required.
  • Associate's degree preferred.
