About the position

The Divisional Office Operations Coordinator at the University of California, Davis is responsible for providing executive administrative support to key university leaders, including the Business Operations Manager and Vice Chancellor of Student Affairs. This role involves managing a variety of strategic and tactical projects, coordinating schedules and meetings, and ensuring seamless communication and collaboration among stakeholders in a dynamic environment. The coordinator will also assist in developing internal policies and support special projects, all while maintaining confidentiality and exercising discretion.

Responsibilities

  • Develop, implement, and maintain efficient systems for executive administrative support.
  • Manage and facilitate projects, defining priorities and action steps.
  • Conduct research with stakeholders and provide recommendations as appropriate.
  • Coordinate schedules, meetings, appointments, and travel arrangements.
  • Provide analytic and administrative support, including creating presentations and handling correspondence.
  • Assist in developing internal department policies related to business matters.
  • Communicate tactfully and diplomatically with a diverse group of individuals.

Requirements

  • High school diploma or equivalent experience.
  • 5 years of experience in a high-level support role or administrative office operations/management.
  • Experience with various computer programs and databases, such as Microsoft Office Suite, Adobe Acrobat, and SharePoint.
  • Experience providing high-level administrative and clerical support, including managing complex calendars and planning events.
  • Strong organizational skills and ability to prioritize tasks in a fast-paced environment.
  • Excellent communication skills to meet the needs of diverse populations.

Nice-to-haves

  • Certificate/degree in a related area and/or equivalent experience/training.
  • Experience with workshops, conference, and event coordination.
  • Demonstrated ability to exercise discretion in handling sensitive topics.
