The Divisional Secretary plays a crucial role in supporting the Director of Clinical Performance Improvement by performing a variety of clerical and secretarial duties. This position is essential for maintaining the physical environment of the area, ensuring that all administrative tasks are handled efficiently and effectively. The Divisional Secretary will be responsible for managing correspondence, scheduling appointments, and organizing files, which are vital for the smooth operation of the department. Additionally, the role requires a proactive approach to problem-solving and the ability to prioritize tasks in a fast-paced environment. The Divisional Secretary will also be expected to maintain confidentiality and handle sensitive information with discretion. This position is full-time and operates on a day shift schedule, requiring a commitment to regular working hours and the ability to adapt to the needs of the department as they arise.

Responsibilities

  • Perform clerical and secretarial duties as assigned by the Director of Clinical Performance Improvement.
  • Maintain the physical environment of the area to ensure a professional and organized workspace.
  • Manage correspondence and communication for the department.
  • Schedule appointments and manage calendars for the Director and other staff as needed.
  • Organize and maintain filing systems and office records.
  • Assist in the preparation of reports and presentations as required.

Requirements

  • High School graduate or equivalent education.
  • Minimum of two (2) years of secretarial experience preferred.
  • Proficient in using personal computers and office software applications.
  • Thorough knowledge of secretarial skills, filing, office machines, and procedures.
  • Ability to express oneself clearly and follow directions effectively.
