About the position

The DJJ Operations Coordinator is a professional role within the Department of Juvenile Justice, responsible for managing contracts and procurement activities. This position requires a high level of independence and strong organizational and writing skills to effectively oversee the procurement process and maintain relationships with service providers. The coordinator will prepare various procurement documents, monitor contract effectiveness, and provide technical assistance to contract managers and program areas.

Responsibilities

  • Perform procurement planning and serve as liaison for anticipated procurement activities.
  • Prepare Request for Proposals (RFP), Invitation to Negotiate (ITN), Invitation to Bid (ITB), and other procurements as requested by program areas.
  • Prepare contracts, amendments, renewals, and extensions as requested by program areas.
  • Maintain contact with providers during the procurement process.
  • Provide technical assistance to contract managers, program areas, and providers as required.
  • Communicate effectively with external customers, maintaining positive relationships.
  • Monitor contracts' effective dates and procurement needs to ensure service continuation.
  • Serve on process work groups as assigned.
  • Ensure all contract documents are distributed and filed appropriately.
  • Consult with supervisors to coordinate solutions to recognized problems.
  • Make recommendations for improving contract document development and office operations.
  • Communicate clearly and effectively, managing conflict as necessary.
  • Perform procurement activities including contract negotiations.

Requirements

  • Knowledge of data collection and analysis methods.
  • Understanding of basic management principles and practices.
  • Ability to evaluate and analyze data for problem-solving and operational improvement.
  • Skill in organizing data for reports and documentation.
  • Ability to conduct fact-finding research and utilize problem-solving techniques.
  • Ability to work independently and apply relevant rules and regulations.

Nice-to-haves

  • Familiarity with Florida Statutes (F.S.) 287.057 and 287.058 requirements.
  • Experience in Florida State Government Procurement and Contracting.
  • Current Florida Certified Contract Negotiators or Certified Contract Manager.
